- Assesses the scope and breadth of division records across multiple file systems.
- Develops, recommends, and implements records management processes and practices which complies with state and federal laws and are organized for compliance with retention schedules.
- Organizes division records to eliminate duplicates and unnecessary records, and for ease of responding to public record requests.
- Identifies division records beyond retention and processes them for extended retention or disposition.
- Improves records management practices and processes of their assigned division.
- Consults with divisional staff regarding subpoenas of records and collects responsive records to provide the Records Officer to respond.
- Tracks sub-request deadlines and gathers records from division staff.
- Meets statutorily mandated deadlines and other self-imposed deadlines with requestors.
- Effectively communicates with requesters regarding their request and potential records.
- Accurately processes and reviews records for disclosure, applying redactions or withholding as appropriate per applicable statutes.
- Maintains complete and accurate records regarding agency response to each request.
- Two years of experience in records management or administrative work in a professional setting. An associate degree may be substituted for required experience.
- Knowledge of the Public Records Act and its requirements.
- Strong organizational skills, with strong attention to detail.
- Ability to maintain confidentiality of restricted or private information and records.
- Ability to communicate in a professional manner, both orally and in writing.
- Experience with database systems.
- Bachelor’s degree in business administration, general studies, accounting, industrial engineering, or a related field
- Experience processing or maintaining administrative, academic, and/or investigative files.
- Experience in criminal justice, law enforcement, legal, education, or similar field.
- Experience working with the Public Records Act and applying legal exemptions.
- Experience utilizing Washington State records retention schedules and applying them to agency records.
