College Receptionist - Student Services Specialist
The State Technical College of Missouri College Receptionist-Student Services Specialist (CRSSS) provides essential services for recruitment, enrollment, and retention functions for Student Affairs at State Technical College of Missouri. In the role of College Receptionist, the candidate will operate a multi-line phone system to receive and direct incoming phone calls; greets visitors to campus, determines the nature of their business, and provides accurate and timely information to help them with a positive experience on campus. Additionally, the CRSSS assists with the chat function on the website, responds to student and parent communication through text, e-mail, and voicemail, and supports the office of Admissions with clerical support.
For Student Affairs, the CRSSS is the first step for State Tech to transition to a centralized One Stop team that provides a student-focused approach to quality service in order to deliver an exceptional, seamless service experience that supports student success and institutional goals of recruitment, retention, and graduation. The position is cross-trained to provide front-line support to students (prospective and current), parents/families, and other campus community members in the areas of Admissions, Registrar, Financial Aid and Scholarships, and the Student Account/Cashier questions. The position will be able to answer questions of significant breadth and depth related to the offices as well as facilitate transactions. This position is the first level of student contact where personal interaction and problem solution begins, providing general information and inquiries, acting as a triage for complex enrollment issues, solving end to end issues, and elevation of complex issues to the appropriate specialists in the office that support One Stop.
  • Provides a warm welcome for all visitors, greeting them with a smile and friendly demeanor on the phone and in person.
  • Takes appropriate action to open, prepare, and close Welcome Center at required times.
  • Operates multi-line telephone console and receives incoming messages.
  • Responsible for answering questions through the chat function on the college website
  • Locates and conducts proper parties for emergency calls in a timely manner.
  • Receives and distributes all calls made to the general voice mail system.
  • Receives visitors and issues temporary parking tags.
  • Receives, records, and assists with incoming tours and testers.
  • Schedules/tours tests as appropriate using appropriate technology.
  • Assists in deliveries made to the front desk.
  • Maintain knowledge of all current State Tech Academic programs.
  • Investigates returned mail.
  • Ability to assist students in communicating to correct instructors.
  • Evaluator to manage duplicate lead management in CRM.
  • Help with mailings to prospective students.
  • Receives lost and found articles and notifies owners, if possible.
  • Receives, records, and posts information for prospective admissions applicants in appropriate software systems.
  • Assists the Event Coordinator to compile weekly and monthly reports of numbers of individual tours, bus tours, testers, registrations and packets mailed.
  • Assists Office of Admissions with communications campaigns (text, e-mail, postcard, etc.).
  • Receives training on Rave Alert emergency processes.
  • Assists the Event Coordinator with all aspects of welcoming guests to campus.
  • Able to be cross-trained to provide front-line service in the areas of Admissions, Registrar, Financial Aid, Cashier, and Housing.
  • Provide exceptional customer service skills and knowledge of student affairs/cashier functions
  • Demonstrate exceptional oral and written communication skills.
  • Able to engage and interact effectively with people of all ages and diverse backgrounds
  • Able to work as a team member.
  • Able to analyze and interpret data to make independent decisions.
  • Able to determine when to elevate a complex issue to the appropriate home office that supports the One Stop.
  • Able to work in a fast-paced, dynamic, and customer-oriented environment.
  • Perform other duties as assigned.
