About the role

We are seeking a detail-oriented and adaptable individual to join our team as an Accounting Clerk. This role involves a unique blend of financial analysis, accounting tasks, and operational responsibilities. The ideal candidate will have a solid foundation in finance and accounting, combined with a strong aptitude for handling various operational processes efficiently. The position requires meticulous attention to detail, analytical thinking, and effective communication skills to ensure accurate financial reporting and smooth operational workflows.

Responsibilities include:

Financial Analysis and Review:

  • Conduct a thorough "Match and Review" process of the previous day’s journal entries to ensure data accuracy and integrity across financial records.

  • Approve PIF (Payment in Full) and SIF (Settlement in Full) letters, validating completeness and compliance.

  • Audit and remittance of attorney remittances and record financial transactions.

Banking and Transaction Processing:

  • Handle weekly commission transfers, ensuring timely and accurate disbursement.

  • Facilitate commission transfers between accounts.

  • Monitor and process wire transfers, including verifying bank transactions.

  • Finalize remittance reports for the previous month, ensuring completeness and accuracy.

  • Maintain comprehensive remittance backup records.

Payment Management:

  • Execute payments following established procedures.

  • Review and audit chargebacks, ensuring proper documentation and resolution.

  • Manage petty cash transactions and maintain accurate records.

  • Coordinate wire transfers to client accounts and Umpqua credit card deposits for the client account.

Financial Reporting and Auditing:

  • Prepare client statements, ensuring accuracy and compliance with company standards.

  • Collect outstanding client payments and generate invoices using QuickBooks Online (QBO).

  • Update and maintain the client statement spreadsheet.

  • Perform regular audits, including monthly payment audits and audit checklists.

  • Conduct audits related to non-sufficient funds (NSF) and monthly income reconciliation.

  • Audit invoices for accuracy and completeness.

Operational Processes:

  • Handle vendor cost-reduction initiatives and insurance applications.

  • Collaborate with revenue diversification efforts.

  • Manage purchase orders and ensure adherence to procurement guidelines.

  • Support business to business (B2B) administrative tasks as needed.

Payroll and Timekeeping Support:

  • Address timecard corrections promptly and accurately.

  • Collaborate on commission processing with our Professional Employer Organization (PEO).

  • Execute regular payroll processing and ensure accuracy.

  • Manage Paid Time Off (PTO) requests and maintain accurate records.

  • Handle off-cycle payroll processes as needed.

  • Manage Time Off balances and make corrections when required.

  • Manage payroll reconciliations in QuickBooks Online (QBO).

Qualifications:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field.

  • Minimum of 3 years of relevant experience in finance, accounting, or operations.

  • Proficiency in financial analysis, data reconciliation, and auditing.

  • Strong understanding of accounting principles and operational workflows.

  • Familiarity with financial software.

  • Excellent attention to detail and problem-solving skills.

  • Effective communication and collaboration abilities.

  • Knowledge of payroll processes and regulations is advantageous.
