What are the responsibilities and job description for the Admin Assistant I position at Stellar BMG?
Duties/Responsibilities:
- Answers and transfers phone calls, screening when necessary.
- Performs a wide variety of administrative activities.
- Scanning and renaming of documents into digital file folders.
- Managing email accounts, assigning to the correct team member.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Prepares agendas and schedules for meetings.
- Working with Slack, emails, and other tech apps to retrieve tasks, communicate status and complete tasks.
- Maintains office supplies and coordinates maintenance of office equipment.
- Take dictation.
- Conduct data entry.
- Research and creates presentations.
- Handle sensitive information in a confidential manner.
- Develop and update administrative systems to make them more efficient.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Minimum 3 years as an Administrative Assistant.
- Bilingual a plus!
Job Types: Full-time, Part-time
Pay: $16.00 - $19.00 per hour
