What are the responsibilities and job description for the Resort Dispatch position at Still Waters Resort?
The ideal candidate is organized, professional, and has excellent communication skills. Duties and responsibilities include serving as the onsite communicator between housekeeping and the rest of the resort. Responsible for administering and coordinating resort functions in assigned sections such as lost and found, entering work order calls from the hotel, creating housekeeping boards, tracking productivity, coordinating communication and flow between all departments, and answering phones. Providing administrative support to ensure efficient operation of the office between housekeeping attendants, supervisors, managers and the front desk, or other areas applicable. Supports managers and employees through a variety of tasks related to organization and communication. Monitors and updates room statuses in hotel property management system. Responsible for confidential and time sensitive materials.
Job duties include, although are not limited to:
- Responsible for making daily assignments for all attendants (AM and PM)
- Ensures all assignments are fair and reasonable
- Responsible for directing all work orders/tickets to appropriate person
- Ensures all calls are logged and dispatched immediately
- Making sure guest calls are completed within the appropriate time
- Multitasking in the midst of chaos at times
- Patience with multilingual, and multi-cultures amongst employees
- Assist with coordination and delivery of amenities
- Monitoring room arrivals to prioritize guests waiting in lobby
- Ensuring phone is answered within 3 rings and answered professionally
- Must be polite when speaking to guests with proper verbiage
- Ensuring attendants are on time according to schedules and maintaining a detailed record of attendance
- Update room status after room has been cleaned and inspected
- Ready to assist in any way necessary to ensure the efficiency and smooth running of the Resort
- Performing additional duties that may be outside the normal scope of duties based on business needs
- Logs, and reports lost and found items
- Maintains records on each room- reports, treatments, deep cleans, renovations, items needing replaced, etc. to begin getting proper documentation to push for improvements
Housekeeping or maintenance experience is preferred but not required. We are more than willing to train the right person!
