What are the responsibilities and job description for the Office Administrator position at STRATA?
STRATA has an immediate opening for a full-time Office Administrator in our Idaho Falls, Idaho office.
We are seeking a highly-organized individual to provide client/project coordination and assistance. Provide clients, employees and vendors with a professional, customer-oriented appearance and demeanor in face-to-face interaction and through phone and email contact. Implement systems and processes to ensure quality and timely distribution of engineering, laboratory testing, field inspection and other related reports. Perform quality control review of all written deliverables from the office including data, forms, letters, reports, proposals, and presentations. Complete time card reviews and project audits. Order equipment, supplies and maintain inventories. Manage the reception area including incoming calls and deliveries professionally and efficiently. Work with managers to ensure accurate and timely invoicing. Assist, as needed, with collections. Create and update records and databases. Function as the office's point of contact for issues and questions related to social media and STRATA's local brand; project marketing including client meetings; and, human resources administration including offer letters, benefits, new employee orientation, and assist managers in building and maintaining employee engagement initiatives. Participates on the Business Administrative Processes committee.
Requires a minimum of 5 years general office experience, a self-starter who adapts to changing priorities, proficiency in Microsoft Office products and computer know-how, and an ability to provide superior professional customer service. Must be able to provide a high attention to detail to manipulate lengthy documents (Statements of Qualifications and Requests for Proposals), edit and proofread professional reports, and work in a team environment with speed and efficiency. Previous experience should include computer file management, general office procedures, and maintaining confidentiality. Previous experience should include abilities and experience demonstrating quality, planning and organizing, dependability, relationship building, discipline, and communication.
