Looking for an exciting position to jump-start your property management career? Riverview At Upper Landing is currently seeking a professional full-time Office Administrator to join their team in St. Paul MN. As an office administrator you will get first hand experience in the property management field, while receiving training for leasing and even assistant property manager positions.
Working Hours
Typically, Monday through Friday 9:00 AM - 5:00 PM. Property office hours may vary from property to property.

Essential Responsibilities:
- Type letters and memos from drafts accurately and quickly
- Assist with leasing when required
- Order office supplies, coffee supplies, and maintain café coffee stations
- Maintain Property Information books and binders
- Create and maintain forms and spreadsheets
- Handle daily deliveries and packages for residents
- Maintain office and business center inventory and supplies
- Assist leasing and marketing with day-to-day tasks
- Correspond with residents when appropriate
- Answer phone calls and direct to appropriate departments
- Perform special projects and assignments as requested
- Send One Call Now messages as directed by the property manager
- Print Preventative Maintenance orders from Yardi and distributes to the maintenance department each month
- Update Yardi with completed work orders and makes follow up phone calls
- Assist maintenance with organizing work orders and special projects
- Provide an extremely high level of customer service
- Communicate effectively to staff through written documentation via e-mail
- Check Resident Portal daily for work order and reservation requests
- Add notes in resident files as necessary
- Scan lease renewals and new move-in leases
- Respond to e-mails and voicemails daily in a timely manner
- Update front entry system upon each new move-in
- Ensure filing is completed on a daily basis
- Update garage map weekly
- Conduct move-out inspections
- Weekly elevator signage updates
- Program entry cards
- Coordinate and plan activities based on property budget
- Conduct new resident orientation
- Walk model and vacant apartments
- Maintain records for DVD rentals and tanning service
- Provide vendors with keys
- Handle laundry service exchanges
Other Responsibilities:
- Knowledge of Microsoft Office (Word, Excel, Outlook)
- Excellent interpersonal skills
- Excellent written and verbal communication skills
- Excellent organization skills
- Able to work with frequent interruptions
- Customer service orientation. Able to work productively and positively with all staff, management, vendors and others to achieve objectives
- Ability to work with minimal supervision
