What are the responsibilities and job description for the Office Administrator position at Super Dispatch?
Super Dispatch is looking for a highly organized Office Administrator for our ever-expanding Kansas City office! The Office Admin will help with a variety of functions, including but not limited to: general office management, assisting with HR and hiring processes, and other administrative and organizational tasks to ensure business and employee operations are running smoothly. The ideal candidate will meet challenges with creativity and a positive attitude, and be at the heart of our organization as the person keeping us all moving in sync.
Responsibilities:
- Manage calendars and schedule meetings while prioritizing competing demands and handling email correspondence related to scheduling
- Support the team in coordinating and preparing for internal and external meetings, conferences, client visits, etc.
- Assist with administrative hiring functions including posting open positions, reviewing resume's and managing applicants, scheduling interviews, and updating documentation
- Prepare and ship packages to our customers, new hires, and international team members
- Help manage company benefits including parking spots and gym memberships
- Assist with booking travel for team members including flights, accommodations, and registration for conferences
- Plan and coordinate for team birthdays and work anniversaries
- Own the responsibility for checking the mail - scan/email/file mail and assist with follow ups as needed
- Create and deactivate accounts across company tools as needed for new and departing employees
- Purchase necessary technology and equipment for our team to ensure they are set up for success
- Purchase supplies to keep the office stocked and track office spending by adding memo's and receipts for all purchases
- Manage office cleaning schedule and general office upkeep
- Assist with planning and coordinating of company events, team outings, and client visits
- Other administrative and organizational responsibilities such as: managing the hardware inventory, updating the company Org chart and Team board, and managing groups across company tools
- Take ownership of ad-hoc projects as needed and follow-through on projects to successful completion
Candidate Profile:
- 1-2 years office administration or administrative assistant experience
