What are the responsibilities and job description for the Human Resources Assistant position at Surry Community College?

Position provides administrative support to Human Resources which requires a high degree of confidentiality and integrity.
Essential Duties and Responsibilities
  • Prepare and distribute incoming/outgoing correspondence/mail both internally and externally.
  • Maintain training database SafeColleges/Vector Solutions to include entering, uploading, removing, and providing copies of training certificates for personnel files.
  • Assist with new employee training.
  • Provide assistance to faculty and staff for SafeColleges/Vector Solutions training program.
  • Maintain master SDS file electronically in MSDS Online and ensure SDS binders are updated within each department.
  • Provide assistance to department chairs (appointed personnel) to ensure inventories and SDS sheets are updated yearly.
  • Assist with maintaining personnel files in Etrieve.
  • Performs customer service functions by answering employee requests and questions.
  • Assists with benefits enrollment for new employees.
  • Submits the online investigation requests and assists with new employee background checks.
  • Verify and submit background check invoice for Investigative Assoc. & Consultants.
  • Performs coding and reconciliations for HR purchase card.
  • Conducts audits of benefits or other HR programs and recommends any corrective action.
  • Updates HR spreadsheet with employee change requests and processes paperwork.
  • Updates employee information on Colleague for HR and Financial Services.
  • Assists with processing of terminations, including terming benefits.
  • Assists with the preparation of the performance review forms.
  • Assists HR Director and HR Generalist with various research projects and/or special projects.
  • Assists with recruitment and interview process.
  • Assist HR Director & HR Generalist with maintaining and distributing keys to approved college employees.
  • Makes photocopies, fax documents and performs other clerical functions.
  • Files papers and documents into appropriate employee files.
  • Assists or prepares correspondence.
  • Prepares new employee files.
  • Assists HR Generalist in maintaining and updating all aspects of PeopleAdmin.
  • Assists with posting available jobs on external sites.
  • Responsible for signing up (hiring) student tutors, note takers, FWS and WBL.
  • Maintain a clean and safe work area.
  • Other duties as assigned

LANGUAGE SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers/administrators, faculty, staff, students, and the general public.

MATHEMATICAL SKILLS:
Ability to apply mathematical concepts such as those needed for the interpretation/creation of graphs, logical equations, and permutations..

REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Required Qualifications
Associate degree in Business, Accounting, or related field; or equivalent combination of education and experience. Must have the ability to effectively interact with different departments and management levels. Strong interpersonal skills. Self-motivated, professional and exercise the highest level of confidentiality.
Preferred Qualifications
Experience, proficiency in the use of integrated software; strong organizational skills with ability to coordinate multiple tasks and schedules; excellent communication and interpersonal skills for interacting with faculty, staff and students; experience in educational setting.
Certificates, Licenses, Registrations
Must have a valid driver’s license.
Physical Demands
While performing the duties of this job, the employee is regularly required to stand; use hands handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk and stoop, kneel, crouch, or crawl. The employee is occasionally required to climb or balance, and taste or smell. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, depth perception, and ability to adjust focus. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to walk and sit. The employee is occasionally required to stand; use hands to finger, handle, or feel; and reach with hands and arms.
