Position Overview:
Qualifications:
Provides complex and broad ranging administrative support to executives; including scheduling, communication and projects, using independent judgment. May provide functional guidance to other administrative professionals or staff.
Principal accountabilities include:
- Provides administrative support by maintaining documents, files, and policies or procedures. Prepares complex reports or presentations with little or no direction. Composes and/or transcribes letters and other documents as needed.
- Assists senior executive with daily communication. Screens calls, takes messages as appropriate, distributes and/or handles mail/email. Greets and assists visitors, is resource for staff, visitors, and other departments. May independently resolve complaints; refers inquiries as appropriate.
- Coordinates meetings, including board meetings, providing support by reserving space, ordering meals, preparing notices, recording and distribution of minutes. Develops meeting agenda and supporting documentation for executive approval. Compiles and distributes materials as needed.
- Prioritizes appointments for executives based on knowledge of business demands. Manages calendars, scheduling meetings, coordinating activities, and preparing for meetings and events. Arranges for complex logistical needs.
Qualifications:
- High school degree or equivalent required. Associate or Bachelor degree preferred.
- Proficiency in administrative office procedures and protocol; meeting planning and preparation of minutes, scheduling, design and maintenance of filing and office systems.
- Excellent knowledge of the English language and grammar is required.
- Knowledge/experience in healthcare setting is preferred.
- 5 years experience in administrative support required; executive support preferred.
- Demonstrated proficiency in advanced administrative skills (e.g., minutes, transcription, scheduling) and MS Office suite.
- Demonstrated proficiency in use of office equipment (e.g., LCD projectors, video conferencing).
- Ability to type 50 wpm.
