Summary:
The Scheduling Director reports directly to the CEO and is responsible for overseeing and coordinating all scheduling-related activities of the SYNERGY HomeCare business. This position includes leadership in areas of the business including maintaining positive relationships with caregivers and clients and organizing schedules to accommodate both clients and caregivers.
This position entails establishing a positive office culture where caregivers want to work, promoting office initiatives, and keeping good communication with caregivers. The Scheduling Director will be responsible for overseeing the staffing of all requested shifts and new client cases. Additionally, the Scheduling Director will be responsible for collaborating with the CEO and Administrator to enhance employee and client satisfaction and morale, as well as revenue growth.
Qualifications:

Knowledge of scheduling and on-call procedures (preferred)

Possess at least two year experience in scheduling skills (preferred)

Proficiency in computer skills (Google Suite, Excel, Power Point, etc)

Knowledge of scheduling software (eRSP or similar) or CRM preferred

Must possess leadership skills, human relations abilities, customer satisfaction skills, and organizational skills

Good problem solving skills.

Well-honed time management skills

Professional and great communication skills, both verbal and written.

Essential Duties and Responsibilities:

Oversees the client and facility schedules

Leads the scheduling department and team in the performance of their daily activities

Provides training, coaching and guidance to scheduling coordinators and scheduling assistants

Increase caregiver retention and maintain professional communication with caregivers

Responsible for client’s schedule and ensuring coverage for the month

Responsible for finding team coverage for holidays, any absences and PTO. Must submit all time off requests for approval to CEO and/or Administrator

Will rotate weeks with the other Scheduling Director. During one’s week, the Scheduling Director will be responsible for handling and assisting with after hour issues. Must be available for any questions or assisting with scheduling, when needed. Will need to be available to cover any absences during the week or the weekend.

Assist in nominating and choosing a candidate for Caregiver of the Month

Provide a weekly report, which includes new clients, accountabilities and goals/plans for the next week

Must secure coverage for any open client shifts on the weekend before leaving each Friday

Responsible for maintaining 6,000 Hours covered each week. Bonuses will be given for maintaining these hours. If hours are to fall under this number, company will not be able to provide mentioned bonuses

Handling the preparation for any incoming holidays and/or severe/winter weather

Schedules shifts and hours by matching caregiver qualifications and availability to client’s needs

Filling in shifts when there is a change or canceled shift in a client or caregiver schedule

Communicates new assignments and/or schedule changes to CGs and clients

Works with the CEO, Administrator and Director of Nursing to assist in resolution of CG issues
