Primary Requirements
The selected candidate should have experience in at least 2/3 key areas:
1. Quote and order entry experience
2. SAP Experience
3. Ability to read CAD drawings/technical specifications
Responsibilities:
• Ensure smooth execution of all order fulfillment procedures using SAP.
• Receive orders and initiate the sales order process within SAP.
• Facilitate the purchase of parts from sub-suppliers using the SAP purchase order process.
• Issue invoices to customers through SAP.
• Collaborate closely with both internal and external sales teams to compile quotes and generate sales orders.
• Identify and procure products based on direct inquiries from customers or from the outside sales team.
• Manage existing accounts, secure orders, and establish new accounts through effective planning and organization of daily work schedule to engage with potential or current customers.
• Provide comprehensive sales support, including handling pre and post-sales inquiries via phone and email.
• Generate standard packing lists and provide them to sub-suppliers.
• Monitor and expedite shipping, if necessary, to meet customer demands.
• Confirm delivery for parts received by customers.
• Approve vendor payments.
• Inspect received goods from vendors for quality and accuracy.
• Manage contract service work projects, including billing customers and approving invoices.
• Acknowledge receipt of purchase orders (POs) and send POs when required.
• Handle imports of goods, ensuring compliance with codes and government importing paperwork, including commercial invoices.
• Retrieve historical purchase orders or technical documentation from past capital projects for new RFQs (Request for Quotation).
• Prepare a two-year spare parts list for new capital installations.
• Receive and process UPS/FedEx packages.
• Attend to the lobby phone for unscheduled visitors.
• Generate monthly reports summarizing quotes sent, new orders received, and open orders.
