GENERAL DESCRIPTION:    The Purchasing/AP Coordinator will assist in the procurement cycle of various supplies and services while supporting the Purchasing Manager in daily activities. Additionally, the Purchasing/AP Coordinator is responsible for timely processing of invoices, credits and employee reimbursements as assigned by the Purchasing Manager.   ESSENTIAL DUTIES AND RESPONSIBILITIES:   1.    Enter and/or upload invoices, credits, and employee reimbursements into system daily upon receipt.  Including navigating supplier websites to retrieve invoices, credits, and statements. 2.    Ensure proper coding and approval of invoices. 3.    Responsible for the tracking and follow up on approvals for invoices on hold. 4.    File approved batch invoices. 5.    Assist in pulling invoices to be paid and matching with checks to be mailed. 6.    Research and resolve invoice discrepancies and issues. 7.    Correspond with vendors and respond to inquiries. 8.    Prepare and process purchase orders for IT supplies, equipment, and other identified  purchasing needs of the IT department.   9.    Prepare and process purchase order for Facilities supplies, equipment, appliances, and other identified needs of the Facilities department. 10.  Act as P-Card Administrator maintaining and providing assistance for all of May Institute’s P-card’s and Wright Express accounts.   11.  Manage WEX fuel card account, order new/replacement cards, and create driver ID’s for new employees 12.  Maintain purchasing information, files, and records (e.g., Requests for purchase, purchase orders, vendor files, etc.). 13.  Work with the Purchasing Manager in support of the daily activities of the purchasing department.  Participate in purchasing process as needed and instructed by Purchasing Manager.      POSITION REQUIREMENTS:   1 year experience in AP or AR A motivated self-starter. Basic reasoning and problem-solving and analytical skills. Attention to detail. Ability to prioritize work and work within deadlines. Strong written and verbal communication skills. Use of Excel, Outlook, and Great Plains. Ability to navigate supplier websites Ability to adapt to change. Ability and willingness to learn new systems and procedures. A professional and positive outlook. A strong team orientation. Works cooperatively with others. Maintains a positive attitude.
