Job Description
As the Office Experience Manager, you will be the face of Talent and help create the first impression of the business to our valued clients and candidates. Beyond answering phones and ensuring the office runs like a well oiled machine (although that is important), you will help create and deliver exceptional experiences to our visitors and the internal Talent team every single day and bring our values to life!
Some things about the role:
- Responsibility of the overall functioning of the office in conjunction with operations with oversight of the performance of duties and mentors reception and front of house staff
- Deliver the highest quality customer service both internally and externally
- Organise and coordinate on-site and off-site events and incentives
- Promptly and professionally attend to telephone calls, welcomes visitors and guests by greeting them in person, and answering or referring queries.
- Maintain key outcomes; contact lists, parking, office space, Talent branding, desk allocation for hybrid working etc.
- Oversee all incoming/outgoing mail and maintain calendar bookings of all meeting rooms coupled with reviewing and actioning all emails swiftly.
- Oversee the reception area, office spaces, meeting rooms and kitchen area. Restock supplies as required, ensuring dishes and the kitchen area is kept clean and tidy.
- Coordinate meetings including preparation of agenda and supporting materials, bookings, catering and travel arrangements.
- Work with sales team to provide a memorable and outstanding level of service to internal & external customers
- Induct new team members on the office, meeting room usage, events, travel and relevant policies
Qualifications
- Strong Administration/Office Management experience
- Previous events management experience is essential to your success
- Intermediate MS Office skills
- Highly skilled in greeting guests professionally and demonstrated ability of updating appointment calendars, schedules and maintaining meeting rooms
- Strong communication skills - both written and verbal - as well as exceptional planning and organisational ability
- An acute attention to detail with a flexible and adaptable approach to work
- A positive and helpful nature
