Trumpet Behavioral Health (TBH) is hiring a Site Administrator who is passionate about working amongst the most empathetic, flexible, and brightest individuals. In this function, you will lead the general office operations and procedures while creating lasting memories in our center with our families and therapists. This is a Full-Time position from Monday-Friday between 7:30 am - 5:30 pm in our Elk Grove center.
ABOUT THE OPPORTUNITY
Here are some of the more specific areas where we need your expertise:
- Answer phone calls, emails, and voice messages promptly
- Document all incoming and outgoing call content
- Greet and assist all clients and Team Members
- Assist with New Team Member onboarding tasks, including collecting employment paperwork, delivering administrative training, and assisting with credentialing and certification activities.
- Coordinate expense reimbursements, including Team Member mileage, professional development expenses, check requests, and payment of all other expenses the division incurs
- Review/audit of payroll hours
- Conversion of scheduled appointments
- Collect and upload client documentation
- Collect and forward mail to the appropriate home office as needed
- Communicate effectively and respectfully with all TBH Team Members’ requests and questions
- Complete special projects as assigned by the direct supervisor
- Maintain the facility to TBH standards for “look and feel,” including regular organization and light cleaning
- Setup and maintain rooms for events
- Coordinate repairs or maintenance of the facility, furniture, or equipment
- Assist with and maintain emergency plans and Injury & Illness Prevention Plans
- Maintain client file security and confidentiality
- Maintain facility security
- Manage supply inventory, and reorder supplies within the allotted budget
ABOUT YOU
You are a go-getter inspired to actively foster a positive and valuing culture for our team members and families. Ideally, you have at least two years of administrative and customer service experience. You excel by being proactive in problem-solving, organization, and time management. You are a tech-savvy guru proficient in Microsoft Office Suite and Google Suite. Lastly, you are not shy regarding having a collaborative spirit, good judgment, and an energetic personality!
Educational Requirements:
- High School Diploma or GED required
- Associate's degree or higher preferred
