JOB OVERVIEW
The Payroll Manager is a leader in the payroll and benefits area. It is an on-site role responsible for continuously identifying opportunities for improvement, implementing new processes and procedures, and maintaining and processing payroll efficiently and with accuracy. This role is key in providing top-tier service to associates and representing the Customer Obsessed (but not in a creepy way) Teknova Guiding Principle. Reconciles and processes benefits-related invoices and connects employees with provider resources.
JOB DUTIES AND RESPONSIBILITIES
- Oversees and performs all aspects of preparation and processing of US and Canada payroll.
- Identifies and recommends updates to payroll processing software, systems, and procedures and leads implementation of these updates.
- Answers associate questions on paycheck calculations, earnings, and deductions.
- Ensures appropriate amounts/deductions are calculated and applied to the various accounts correctly.
- Calculates all associate payroll payments including but not limited to new hire prorations, termination final pays, leave of absence payments, retroactive payments, bonuses, relocation bonus tax gross-up.
- Designs and maintains processes to report equity compensation (NQ, ISO. RSU, ESPP).
- Ensures accurate time reporting for non-exempt, hourly workers. Works with third-party vendors to ensure time and absence tracking rules are accurate. Works with managers to ensure accurate time cards are submitted in a timely manner.
- Calculates overtime, PTO accruals, sick time, and other categories of time as needed.
- Ensures shift differentials and all automated pay calculations are programmed accurately by the payroll provider
- Designs and performs testing activities needed to ensure interfaces between payroll providers and benefits vendors perform as designed.
- Acts as the primary contact between Teknova and the third-party payroll system, ensuring payroll-related issues are resolved in a timely manner.
- Leads third-party payroll system implementations and upgrades.
- In collaboration with People Operations, ensures associate payroll-related questions are addressed in a timely manager.
- Verifies compliance with federal and state payroll requirements; stays current with changes in the law.
- Assists with tax entries for associates exercising stock options and processing restricted stock units.
- Designs and documents payroll processes and procedures and ensures they meet SOX compliance needs.
- Design reconciliations and audit employee files to assure accuracy, compliance, and follow-up on all payroll discrepancies, errors, and inquiries with a responsible and customer-focused approach.
- Trains people managers on key wage and hour compliance items such as overtime, breaks, timecard corrections, and approvals
- Audits and reconciles any differences in employee access and account balances between different vendor system portals.
- Sets up garnishment calculations in the payroll system and ensures that calculation is correct.
- Ensures annual payroll processes are completed in a timely manner, including W2 processing, ACA reporting, annual benefits deduction updates, etc.
- Manages benefits administration enrollment system. Ensures interfaces with onboarding system, payroll, and provider systems operate accurately and timely. Ensures new hires, life event changes, and terminations are processed timely and accurately.
- Processes monthly benefits invoices. Audits accuracy of vendor-provided invoices and prepares self-bills in a timely manner. Liaison between accounts payable and vendors.
- Completes benefits processes, including enrollments, COBRA, terminations, changes, beneficiaries, health savings account (HSA) enrollment and transfers, ESPP enrollment, changes, and terminations.
- Provides information for audit requests. Prepare, collect, and organize data for actuarial assessments.
- Gathers data and prepares census spreadsheets, cost spreadsheets, and demographic information.
- Thoroughly investigate, correct, and follow up on all payroll discrepancies, errors, and inquiries with a responsible and customer-focused approach.
- Register Teknova State/SUI/Local payroll tax as needed and update jurisdictions in the Payroll system.
- Assisted accounting in all payroll- and benefits-related journal entries and accruals.
- Develops payroll-related reporting.
- Assists with various audits and ad hoc projects as needed.
- Prepares headcount reporting.
- Maintains knowledge of state regulations, employment law, and tax code to ensure compliance.
Requirements
EDUCATION
- Bachelor’s degree in Accounting or related field/equivalent experience; Certified Payroll Professional designation preferred.
KNOWLEDGE / SKILLS / EXPERIENCE
- Minimum 8 years’ experience in payroll & benefits processing/payroll operations
- Experience with multi-state, 300 employee companies
- Upper-Intermediate MS Office skills (can use formulas, pivot tables, vlookups)
- Excellent organizational skills and attention to detail.
- Team based focus with excellent collaboration and facilitation skills
- Excellent written and verbal communication skills; ability to connect with diverse employees in all levels and variety of roles
- Excellent analytical and problem solving skills.
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes, equity compensation.
