Director of Admissions
Position Summary: The Director of Admissions & Records manages all admission and records functions for the college. Director maintains and ensures accuracy and confidentiality of student records.
Duties and Responsibilities:
• Serve as resource person for the Vice Presidents, Deans, Faculty and Staff.
• Serve as Banner Student Security officer. Maintain integrity and security for access to student data. Ensure all student records in Banner are maintained and updated properly.
• Provide Banner update training, as necessary, on student forms to faculty and staff.
• Process updates and changes in Banner (academic calendar, catalog changes, student data changes, etc.).
• During registration periods check for registration errors, correct errors or notify appropriate Dean.
• Open Web for Faculty to enter final grades. Monitor input of grades.
• Serve as Family Educational Rights and Privacy Act (FERPA) Coordinator for JSCC.
• Provide enrollment and other student reports to JSCC administration and to Tennessee Board of Regents.
• Process students with late withdrawals.
• Process final grades and grades changes each semester.
• Determine academic probation/suspension status of students.
• Provide list of students on academic suspension each semester.
• Provide letter to students on probation listing probation guidelines.
• Prepare the Clearinghouse enrollment report each semester-currently enrolled students
• Respond to Clearinghouse requests for student enrollment/graduation data-former students.
• Certify athletic eligibility.
• Supervise loan deferment form process, letters of enrollment for insurance companies, and other comparable documents as needed.
• Oversee evaluation and processing of military transcripts as received- notify student and VA Office of credit accepted.
• Supervise daily operations of admissions and records staff and office.
• Provides oversight for all admissions functions, communications, activities and recruiting
• Ensure and enforce federal, state, institutional and TBR admissions standards compliance.
• Serve as liaison with school systems, JSCC departments, industry and general constituency.
• Represent the college during varied activities.
• Assist with the development and updating of admissions materials.
• Serve on various taskforce, committee boards and advisory boards.
• Complete reports as needed for TBR and institutional effectiveness.
• Maintain confidentiality of all student records
• Serves as a member of the Student Services Leadership Team
• Oversee Dual Enrollment and Grant
• Other duties as assigned.
• This position currently requires face-to-face, on campus work
• Direct supervision of admissions and records staff to include: Coordinator of Records, Coordinator of Recruiting and Coordinator of Dual Enrollment
Knowledge, Skills, and Abilities: Strong interpersonal communication skills; ability to effectively communicate using both written and verbal skills. Proficiency with Banner, or other Student Information Systems, and Internet use, particularly Web for Students and Web for Faculty programs; thorough knowledge of Banner system record screens used to maintain student records; proficiency with Microsoft Office basics, strong in Excel. Analytical skills required to effectively advise and assist students, faculty and staff both on campus and off-site. Current knowledge and application of laws related to maintenance and release of student records, including FERPA, the Solomon Amendment, and the Patriot Act, required. Employee must exercise ethics due to handling of confidential information. Reasoning ability also required in effective supervision, proper assessment of transcript information and academic certifications. Analytical, marketing, project management and facilitation skills required. Must exercise ethics to ensure consistency and confidentiality in admissions process.
Required Qualifications: Master’s Degree with a minimum of two- or three-years’ experience using Banner, or other Student Information Systems, and working with student records and college catalog
Pay Rate: 58,767.00 - 73,458.00 Annual salary depends on eligible experience which is defined by the current compensation plan.
