TETER Architects Engineers, Central California's premier Architecture and Engineering Firm, is looking for a Project Administrator (PA) to support our team in completing a variety of projects including education, industrial, energy, federal, private sector, healthcare, and commercial.
At TETER, our Project Administrators are the foundation of our successful project delivery process, providing planning, coordination, communications, reporting and overall project management support throughout all phases of a project. Examples of the Project Administrator's responsibilities include, but are not limited to:
- Contract Administration - Prepares and processes client proposals, contracts, and scope change/contract modification documents.
- Scheduling - Monitors project milestones team-wide, supports Team Leader in allocating production resources, tracks progress, and reviews facts that affect production schedules.
- Work Planning - Assists Project Managers (PMs) with preparing, recording and monitoring project work plans, identifying variances and problem areas, and consulting on recovery strategies in order to keep projects on track financially.
- Accounting - Assist with and supports monthly billing review/invoice cycle in conjunction with the Accounting Department.
- Reporting - Ensures data in the firm's project financial management system is accurate and up-to-date and generates financial reports, such as project realization, team utilization and other management reports as requested.
- Administration - Assists Project Teams with correspondence, specification writing and typing, preparing and processing submittals and other documentation, printing, etc.
A successful Project Administrator collaborates with staff throughout the firm, has a thorough understanding of the A/E/C industry as well as the firm's project management processes, and can translate communications and data into useful information for the team and firm leadership. We find that this requires the following education, experience and qualifications:
- Education - Bachelor's degree in business administration, engineering management, construction management or a related field
- Experience - 5 years in an operational, analyst, or administrative support role in a professional services firm. Experience in architecture, engineering or construction is a plus.
- Follow-Through - Willingness, and ability, to be assertive and relentless in following up with project staff, ensuring all parties have up-to-date information and projects continue to progress in order to meet time and budget requirements.
- Proactive - Proven history of taking the initiative, identifying red flags in the production process and/or project financials, presenting solutions and implementing them quickly.
- Business Acumen - Experience in forecasting and managing project financials, including strong analytical, critical thinking and decision making skills.
- Communication - Must possess a high level of oral and written communication skills, and be willing to follow up by phone, email and in person, as needed in a professional manner.
- Fast-Paced Environment - Ability to multitask, follow instructions, and effectively prioritize and meet multiple deadlines while maintaining extreme attention to detail and levels of organization.
- Owner Mindset - Possess an elevated sense of ownership and commitment to the team to pitch in wherever necessary, including completing remedial and clerical demands.
- Technology - Very comfortable learning and utilizing computer programs and databases in order to pull reports, track project financials and manage other project related administrative tasks.
TETER has adopted a hybrid work model with staff in office Tuesday through Thursday, and able to work remotely from home on Mondays and Fridays.
