The Intake Lead will be based in the State of Oregon and have direct experience in standing up Intake Centers, Intake policies and procedures, and supervision of Intake Specialists in post-disaster grant and case management programs. This specifically includes federally funded program management and administration. This position will provide technical guidance, strategic direction and management services during the implementation of Intake services related to the ReOregon CDBG DR Program.
Roles and Responsibilities:
- Establish the layout and workflow practices for Intake Center located in the impacted Oregon Counties
- Oversee and direct a Team of Intake Specialists conducting outreach to prospective CDBG-DR applicants
- Manage the Intake Specialists as members of the case management team to ensure quality case files and client interactions
- Maintain intake data for CDBG DR programs, daily review and quality control of incoming data
- Produce and present weekly reports for client review
- Coordinate with local government, housing agencies and non-profit groups for information use to verify referrals
- Meet with prospective applicants to describe the CDBG-DR programs, review applicable required materials and provide technical assistance and guidance to and through the Intake Specialists
- Review submitted applications for compliance with the program guidelines and policies
- Maintain applicant intake folders and applicant intake data
- Coordinate with the internal staff to assign tasks related to intake and the maintenance of Intake data files
- Other duties, as assigned
Internal Responsibilities:
- Exercise normal supervisory responsibility with respect to subordinates, including those associated with performance appraisals, selection, and delegation of authority, work assignment and definition of areas of responsibility
- Responsible for the training and development of employees under his/her direction in order to increase their proficiency in satisfying current job requirements, including training Intake Specialists to support applicants with navigating the program application portal(s), which allows Survivors to initiate an application or provide new or updated information to the program after applying, and enhance team members’ potential for advancement to more responsible positions
- Provide leadership and direction setting for project staff to work as a cohesive team
- Ensure a positive and non-hostile work environment exist at all project sites
- Maintain knowledge of federal grant programs in order to interact with clients (grantees and sub-grantees), federal agency representatives, peers, managers and project staff
The ideal candidate will have exceptional organizational skills and demonstrated ability to meet deadlines in a fast paced, dynamic, team-oriented environment. Will be able to prioritize work and be a self-starter.
- Bachelor's degree or 5-10 years of demonstrated intake experience (housing case management, project manager and/or experience in state or federal grant programs, specifically CDBG DR programs, including related statutes, regulations, policies and processes. A combination of industry experience and degree may be substituted.
- Prior supervisory experience
- High attention to detail
- PC, Microsoft Office Suite knowledge required (specifically strong Excel skills)
- Ability to learn project-specific computer systems as needed (specifically SharePoint and proprietary computer systems)
- Individuals in this position are expected to maintain a professional demeanor, have strong analytical skills, excellent verbal/written communication and interpersonal skills, the ability to effectively interact with individuals from various cultures and backgrounds. Individuals in this position must also have the ability to work independently, as well as lead teams of consultants.
