Exam Services Administrative Assistant
This is a hybrid role which can be based in our Schaumburg or downtown Chicago office.
JOB SUMMARY:
Perform various tasks to ensure the accurate and efficient production and delivery of the examination process. Assists Manager in administration of Fellowship exams offered via Computer Based Testing (CBT). Assist other staff members of the department on various projects.
ESSENTIAL FUNCTIONS:
1. Provide support to Manager on Fellowship Computer Based Testing (CBT) exam administrations. Share role responsibilities and serves as back-up for the other Exam Services Administrative Assistant. Liaison with Prometric on resolving issues associated with the administration of the CBT exams: such as the following but not limited to: Test center capacity, candidate identification issues, and test day technical issues.
2. Provides support to Manager on all exams offered in CBT administrations. Typical responsibilities include but are not limited to:
3. Share responsibility for securing supervisors for the Select Paper/Pencil Locations for Preliminary exams.
4. Share responsibility for typing, printing, and preparing exam booklets (English and French version) for the paper and pencil administration of the CBT preliminary exams. Update Instructions to Supervisors booklet for the preliminary paper and pencil administration.
5. Share the responsibility of shipping of examination materials to exam sites. Collate, assemble, package and ship exams to designated exam sites.
6. Work collaboratively with other exam department staff as needed. Examples include selecting exams for copies for comparison and sort project. Preparing grader documents and uploading into shared site.
7. Work collaboratively with Customer Service in addressing candidate issues on CBT exams.
8. Assist Exams Dept. with various administrative duties (e.g., mailings and shipments, word processing and other administrative tasks
9. Share responsibilities before, during and after assisting with virtual Essay Sort for the CBT written-answer exams:
