Your role in a nutshell
The Benefits and Leave of Absence Coordinator performs general administrative duties under the direction of the Sr. Benefits Specialist. This position is also responsible for assisting with the day-to-day administration of the Company’s benefits/insurance plans and leave of absences as well as assisting in payroll processing. The Coordinator will act as the first point of contact for benefit inquiries, be a designated ambassador for wellbeing and will liaise as needed with other team members.

Responsible for the day-to-day administration of all group health and welfare plans including medical, dental, short-term disability, long-term disability, life insurance, workers compensation, flexible spending accounts, qualified commuter benefit, and retirement plans
Work closely with carriers, administrators, vendors and accounting team to ensure invoices are reconciled and processed in a timely manner
Coordinates benefits contributions with payroll
Leave of Absence intake and coordination with carriers to ensure timely processing of claims; Responsible for tracking time off due to all Leave of Absence including but not limited to: Personal leave, Workers Compensation, FMLA, Parental Leave, and Disability; Maintenance of related files and documents
Conducts benefits orientations as needed and explain benefits self-enrollment system
Act as first point of contact for benefits-related employee inquiries and escalate to Sr. Benefits Specialist as necessary.
Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs. Resolve administrative problems with the carrier representatives
Coordinate workers' compensation claims with third-party administrator. Follow up on claims.
Prepare and maintain biweekly employee reports, new-hire and absentee reports.
Partner with Benefits team to assist with Open Enrollment period including but not limited to working with broker/consultant on carrier renewals, updating forms, booklets and partnering with the Sr. Benefits Specialist to create collateral for employee education and engagement
Provide support with compliance deadlines and year-end deadlines including annual filings and notification requirements such as Form 5500, Discrimination Testing, EEO-1 Report, and Medicare Part D Notification
Other Responsibilities
Organize and maintain benefits files; assist with employee events and monthly benefits newsletter; create and run ad-hoc reports.
Assist with preparing reports for processing payroll for the employees using ADP Workforce Now
Tracking employee benefits eligibility, time/attendance, vacation time and sick/personal time
Running monthly benefits enrollments for group insurance plans
Maintaining employee personnel and medical folders
Overseeing the disability, workers comp, FMLA and request for leave paperwork
Ensure all benefits related invoices and carrier billing are handled in a timely manner
Assist the Sr. Benefits Specialist with other administrative and clerical tasks as needed
Check and respond to message in the Benefits email box
What we look for
Solid experience in an administrative role, within HR preferred
2-3 years of HR, Benefits and/or Leave of Absence programs is preferred
Experience with Workday or other HRIS database regarding report writing and familiarity with ADP or ADP Workforce Now desirable
Proficiency in Microsoft Office Suite including strong Word and Excel skills
Highly organized with ability to prioritize multiple tasks with keen sense of urgency and strong attention to detail and accuracy
Experience working with Canadian or international employees a plus
Strong organizational, multi-tasking and communications skills, both oral and written
Must have the ability to be confidential with employee and business information
Customer service orientation
