Job Summary: Our growing plastic surgery practice is seeking an organized, meticulous scheduler to join our team. Our clinical staff sees up to 50 patients per day on average and we are hoping to hire a candidate that can coordinate staff and patient schedules. The ideal candidate has superb communication and multitasking skills, a positive attitude, and a strong work ethic.
Responsibilities and Duties:
- Manage clinical staff schedules appropriately including scheduling appointments, inputting time off, filling cancellations, and rearranging schedules as needed
- Greet patients as soon as they arrive at your desk and walk through the check-out process
- Answer phone calls and book appointments for consultations, office surgeries, and follow-up visits for the Traverse City and Petoskey offices
- Work in emergency appointments and resolve scheduling conflicts
- Communicate with surgeons, nurses, physician assistants and other health care professionals regarding patients and schedules
- Follow up with patients
- Remind patients of upcoming appointments
- Collect patient co-pays, deductibles, prepayments, coinsurances
- Enter daily billing information at end of each patient’s appointment and present them a receipt if wanted.
- On a weekly basis make certain all encounters are entered for each practitioner. This may involve coordinating with surgery scheduler and physician.
- Have a working knowledge of the responsibilities of all other staff members and be willing to fill in or help them at any time.
- Create and manage digital patient charts
- Maintain clean and professional appearance of work space
- Maintain professional attire and appearance
- Run monthly business reports
Qualifications and skills:
- Associate’s degree preferred, but high school diploma with some college or equivalent experience accepted
- 2 years’ experience as scheduler or administrative assistant
- Knowledge of spreadsheets and word processing documents
- Typing speed at least 70 WPM
- Experience with Nextech or willingness to learn
- Positive attitude and strong work ethic
- Exceptional communication and organizational skills
- Basic knowledge of health care terminology desired
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
