As The CORE Institute continues to grow, we are looking for a Procedure Scheduling Supervisor based in HOPCo Headquarters.

ESSENTIAL FUNCTIONS

  • Ensure the daily tasks are worked and submitted promptly and accurately.
  • Maintains positive leadership and gives frequent performance feedback and encourages two-way participation and sharing of ideas for process improvement.
  • Coaches established employees when needs are identified, holding employees accountable for results through coaching and development of action plans.
  • Performance management of personnel including, reviews, corrective action, mentoring, and development plans and performance improvement plans.
  • Responds to patient questions and complaints as required resolving problems and maintaining high patient satisfaction levels.
  • Assist in interviewing, hiring and training of new team members.
  • Monitor and manage the productivity and performance of assigned employees including reporting daily/weekly/monthly department metrics to Senior Leadership.
  • Implement and monitor the results of the team’s processes in support of the overall goals of the department.
  • Provides ongoing communication with team regarding pre-certification, authorization, financial counseling, and scheduling processes.
  • Works cohesively with Clinic Leadership to help maintain the scheduling templates; updates team on any changes or additions.
  • Works cohesively with clinical team to ensure inventory is received and procedures are authorized and scheduled timely and appropriately.
  • Works cohesively with Supply Chain Management to ensure PO requests for supplies and inventory have been ordered in the accounting system.
  • Works with sensitive and confidential materials and must be able to exercise discretion.
  • Must be able to meet deadlines given by Senior Leadership.
  • Research and resolve discrepancies in a timely manner.
  • Participates in regularly scheduled staff meetings.

EDUCATION

  • High school diploma/GED or equivalent working knowledge preferred.

EXPERIENCE

  • Requires 2 or more years’ experience in a supervisory role in a medical scheduling or clinical environment.
  • Must be able to communicate effectively with physicians, patients, and the public and can establish good working relationships with both internal and external customers.
  • Strong leadership skills with an ability to motivate with a positive attitude that impacts others in a positive way.

REQUIREMENTS

  • Excellent critical thinking, troubleshooting, and analytical skills.
  • Excellent interpersonal skills including conflict management.
  • Experience working in Microsoft products – Word, Outlook, and Excel (pivot table)
  • Well organized and able to meet deadlines.
  • Excellent attention to details.

KNOWLEDGE

  • Knowledge of government regulatory requirements and commercial contracts.
  • Knowledge of scheduling and billing methods and policies regarding productivity/workload analysis and scheduling procedures.
  • Knowledge of Medical Terminology.

SKILLS

  • Skill in customer service and an understanding of The CORE code of conduct and culture.
  • Skill in communicating effectively with physicians, clinical staff, hospital staff and the public.
  • Skilled in Analytical and problem-solving capabilities.
  • Skilled in establishing metrics and clear objectives including performance management.
  • Skilled in effectively managing multiple projects simultaneously.

ABILITIES

  • Ability to multi-task and work well under pressure.
  • Ability to communicate with upset and frustrated patients.
  • Ability to meet time sensitive goals.
  • Ability to analyze problems and interpret information and to prioritize and re-prioritize, as necessary. Ability to work independently, and as part of a team.
  • Ability to identify opportunities for process improvement, identify solutions and plan for and implement solutions.

ENVIRONMENTAL WORKING CONDITIONS

  • Normal office environment.

PHYSICAL/MENTAL DEMANDS

  • Requires sitting and standing associated with a normal office environment.
  • Some bending and stretching required.
  • Manual dexterity using a computer keyboard, phone and scanner.

ORGANIZATIONAL REQUIREMENTS
