These meetings include industry conferences, management events and government round-tables held around the world. Each meeting organised by the events teams delivers objective and informed analysis. Meetings provide unusually high-level forums where senior executives can gain insights, exchange views and compare strategies.
Currently, we are seeking an Event Associate to join our Americas Events team. The Events Associate should have a minimum of three years event management experience, a passion for project management, logistics and outstanding customer service, and the ability to quickly establish and manage a reputable relationship with clients.
Accountabilities
How you will contribute:
- Manage client deliverables pre event, on-site and post event
- Conduct research on potential partners, speakers, and venues for upcoming events
- Assist with the speaker outreach process, including sending invitations, briefs, and aggregating contacts
- Maintain programmes and website updates with agenda, speakers and photos
- Help manage event logistics related to speakers and editorial content
- Provide event marketing support and social media management
- Conduct venue, competitive event research and registration support
- Handle contract negotiation and speaker reimbursement process
- Develop and manage temporary staffing plan and direct temporary staff onsite
- Research, recommend, and manage external vendors such as audiovisual, venue/hotel, catering, photographers, temp agencies and others as necessary whilst managing budgets in conjunction with Associate Director
- Maintain and, where appropriate, identify improvements for project management systems
- Manage projects in a timely manner to ensure deadlines are met
- Manage the event budget, direct costs, invoicing and accounts payable process with guidance from the Associate Director of Event Operations
- Manage clients and senior stakeholders in a courteous and professional manner
Experience, skills and professional attributes
The ideal skills for this role are:
- Ideally a minimum of three years' event management experience preferred
- Experience with project management, event production and logistics within an events or conferences environment
- Experience in vendor selection, negotiation, contracting, and management
- Experience developing and managing budgets
- Experience working with clients and managing client projects
- Strong interpersonal skills both in person and by phone, with high professionalism
- The ability to manage multiple projects, prioritize competing timelines and adapt to change
- Strong collaboration and stakeholder management skills
- Comfortable working across Microsoft and Google product suites, and social media applications
- Familiar with new event technology and able to get up to speed quickly with new project management platforms
- Exposure to flexible working hours during busy periods, and a willingness to travel up to 20% of the time
- An intellectual curiousity, can-do attitude, enthusiasm, and ability to be pro-active
- Self confidence and not shy to contact headline names
- Fluency in Spanish
