What are the responsibilities and job description for the Project Lead position at The Fountain Group?
We are looking for a team orientated, self-starter to fill the role of Project Lead. This is a key role that will work closely with the Project Manager, Stakeholders, and leads to help deliver major key projects efficiently. We are looking for someone to who is eager to manage the administrative tasks of project in close coordination with our Project Manager.
*The Project Lead will:*
* Support our Programming hours in person by opening and closing the Experience Floor. The floor will be open for programming Monday-Thursday 8am-5pm daily (timing may vary based on business need).
* Support on-site programs based on business demand, this may include early morning starts
* Support pre-program logistics, such as, submitting child tickets for Facilities, set-up materials and swag
* Help source and schedule VTO activities for set \ programs
* Manage attendee registration platforms (ELC, Google Form etc.)
* Perform administrative duties that support the day-to-day operation of the business, such as, registering attendees upon their arrival, responding to attendee inquiries both in person, via email and Slack.
* Oversee & Manage the set-up and breakdown of our volunteer programming
* Meet, greet and escort external vendors as and when required
* Manage the maintenance of our monthly inventory intake of programming materials
* Order supplies and other miscellaneous items as needed.
* Assist with placing food orders as requested.
* Assist Trailblazer Ranch team with various projects as assigned.
* Offer a warm and genuine welcome to all attendees of the Trailblazer Ranch Experience, practicing the 10 - 5 rule, and providing tours of the floor as needed.
* Handle all employee and guest interactions with the highest level of professionalism and hospitality to ensure we are always exceeding expectations.
* Accommodate special requests whenever possible and resolve all employee inquiries, issues, or concerns promptly and graciously.
* Have strong time management skills and be able to anticipate needs in each situation and take appropriate action quickly.
* Assist with overall maintenance of the floor – communicate any and all maintenance issues to our internal partners in a timely and efficient manner, escalating concerns to manager as needed.
* Act as the eyes and ears for the space - with an eye for detail - reporting any issues with cleanliness, technology, or general maintenance to the appropriate party.
* Be a good business partner to other areas of the Salesforce ‘Ohana; including, but not limited to: Guest Service, Campus Events Team, ’Ohana Floor Team, Culinary Team, Health and Safety, Global Safety & Security, Facilities, third party vendors and contractors.
* Maintain up to date team documents, SOP’s and training materials.
* In-office position, 5 days a week position. Working hours are subject to change based on programming support needed
*Required Skills/Experience:*
* 2-4 years related experience: Candidates from luxury hospitality, event coordination, high-end retail, or other high-touch guest service roles are particularly encouraged to apply
* Excellent interpersonal communication skills, with a genuinely warm, gracious, and professional demeanor in all interactions
* Strong multitasking skills, and ability to remain focused on job responsibilities, even when other distractions are present.
* Proficiency in using Google Executive Suite (Sheets, gMail, gCal, Slides)
* Be willing/able to learn and use our internal _Salesforce.com software application
* Ability to take direction and follow oral and written instructions
* Have strong writing, analytical, and problem-solving skills
* Have the ability to operate standard office equipment (telephone systems, copiers, scanners, printers, fax machines)
* Ability to work a flexible schedule as needed - early mornings
Preferred Skills/Experience:
* 2-4 years related experience
* Experience working in a fast-paced, technology-centered environment
