The International Exit Planning Association (IEPA) is seeking a project / events coordinator who has experience and enjoys collaborating with many different stakeholders and is excited to manage remote events, including the company’s webinars, courses, and live events. The IEPA is focused on the consulting industry, including financial services and offers training, professional development, certification and events (conferences and webinars) for our members. On a quarterly basis we may host 20 to 30 educational events – each of which has multiple steps and multiple presenters that require coordination.

Qualifications
· 3 years of proven success in events management, including remote events such as webinars and live events such as conferences.
· Excellent organizational skills, including time management, and attention to the many details involved with managing remote (and live) training events.
· Strong planning skills to coordinate the activities of multiple parties to any single event.
· Strong interpersonal and communication skills; ability to communicate concepts and details across internal and external participants leading up to, during, and after each event.
· Detail oriented with a commitment to high quality performance and production.
· Adept with technology – understanding of Zoom Webinar, CRM (Hubspot), Marketing Campaigns (Constant Contact)
· Experience treating each teaching session as an event that has its own operational plan, including post-event reporting, activity management and, in some cases, coordinating follow up activities that are a result of that event.
Responsibilities
You will collaborate with key stakeholders across the organization to help create an impactful experience for every aspect of each event. Events include educational webinars, live presentations / course, as well as coordinating activities relating to the IEPA’s Certification course.
Event Logistics Management:
· Assist with end-to-end planning, production, support and execution of our webinars and trainings.
· Maintain organization of events and production calendar to ensure successful completion of assigned tasks.
· Creating/scheduling events in Zoom and circulating calendar invitations.
· Coordinating calendars for internal team and external speakers.
· Supervise speaker management and provide speaker support.
· Collect and coordinate PowerPoint presentations (and other collateral material) for each presentation.
· Manage against deadlines for both internal staff as well as external faculty and presenters.
· Manage attendee lists and keep team members up to date on event registrations.
· Ensure all event participants are in place for when “the curtain goes up” on each event.
· Troubleshoot and handle any technical issues that arise prior to or during an event.
· Send email reminders and schedule follow up emails to attendees,
· Evaluate event performance by collecting appropriate data to develop evaluations, measurements, and reports.
· Provide support for two live conferences each year.
