SUMMARY: The Site Supervisor is an entry to mid level supervisory position and is responsible for overseeing the cleaning of Service Provider cleaning teams in a distribution center/warehouse environment. They will ensure the quality of work meets company and customer standards. Normal work hours may include occasional overnight shifts. Changes to hours can be made at the discretion of the Site Operations Manager or to meet client’s/account needs and service requirements.
PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES:
- Handles issues for one distribution center.
- Responsible for relaying protocols that have been set by senior management.
- Motivates their staff to ensure the proper protocols and procedures are followed and that projects are done on time.
- Responsible for training Service Provider’s cleaners in conjunction with the Service Provider’s Supervisor.
- Signs off on daily, monthly, weekly checklists that are turned in by the Service Provider
- Turns activity logs into Safety Manager at the end of the week along with allergen and glass cleanup sheets.
- Time clock management, payroll approval for hourly personnel.
- Oversees the day to day including, ensuring allergen processes are followed, machine scrub and detail/deep cleaning of bays and separation of materials such as plastic and carboard.
- Works closely with FSQA and Facility Management departments overseeing the day-to-day activities
- Acts as point of contact and is available via phone 7 days a week for emergency services or situations.
- Conduct Quality Assurance inspections using FSM
- Provide specific direction to Service Provider cleaning crews and follow up to ensure completion.
- Establish and maintain effective communication and working relationship with service partners.
- Tour and inspect location with service partner during both day and overnight operations weekly to ensure that Cleaning/sanitation teams are following specific guidelines to proper floor care.
- Assume the position of a cleaner to address facility needs, if needed.
- Provide a daily and weekly summary report on visits, inspections, action items, wet work etc. to management
- Coordinate projects with customer, coordinate resources with service providers and directly oversee the work.
- Ensure the satisfaction of the customer by obtaining a sign off sheet.
- Maintain adequate customer satisfaction levels.
- Perform other related duties as assigned by supervisor.
- Report any issues or important occurrences with customer or other stakeholders to supervisor in a timely manner.
- Keeps Safety top of mind and promotes a safe work environment.
- Assists with implementation of company use of machinery and safety programs including forklift training in collaboration with HR and Site Operations Manager
- Ensures employee and Service Provider safety is a priority by committing to timely incident reporting procedures and use of proper PPE
- Enforces company policies to establish a culture of health and safety according to legal guidelines.
- Supports the development of the company’s OHS (Occupational Health & Safety) policies and programs.
- Conducts risk assessment and enforces preventative safety measures as needed or in the absence of the Site Operations Manager.
REPORTING RELATIONSHIPS:
- Reports to the Site Operations Manager
- Oversees and supervises work of the Service Provider sanitation and cleaning teams.
QUALIFICATIONS:
- Be willing, able and available to work occasional overnight hours as needed.
- Available to work fluctuating hours
- Computer skills: Proficiency in Microsoft Office Suite, email and Internet applications.
EXPERIENCE:
- At least 3 years of related experience.
- Experience in facilities maintenance or janitorial business.
- Experience in a warehouse, preferably distribution center environment.
SKILLS/ABILITIES:
- Proficient in the use of Windows based office software
- including but not limited to Microsoft Office, Word, Excel, PowerPoint and Outlook
- Knowledge of floor care as well as the cleaning equipment
- used in warehouse.
- Ability to follow terms of contract as related to proper floor maintenance and sanitation.
- Ability to multi-task, work independently, and work well in a
- team setting.
- Detail oriented and organized.
- Ability to work in a fast-paced environment.
- Ability to create and lead teams.
- Supervisory responsibilities:
- Directly audit the work of third party, subcontracted cleaning
- crews
- Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws.
- Address complaints and resolves problems with the Service Provider’s manager promptly.
EDUCATION/CERTIFICATION:
- Bachelor’s Degree preferred. Associates Degree required..
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
- Continually required to stand, walk, bend, stoop and kneel.
- Frequently required to bend, stoop, and kneel.
- Must be able to lift and/or move 50 pounds.
- Ability to communicate orally with customers, vendors, management, and other co-workers is crucial. Regular use of the mobile smart phone and e-mail for communication is essential.
- Hearing and vision within normal ranges is essential for normal conversations, to receive ordinary information, and to prepare or inspect documents.
- Must be able to operate forklifts/pallet jacks as needed.
- The job is performed in a distribution warehouse.
