What are the responsibilities and job description for the Compliance and Violation Specialist position at The Parkoff Organization?
Candidates must be self-driven, reliable, willing to learn and be resourceful. Strong computer skills, proficient writing skills and strong communication skills are a must. Ideal candidate is extremely organized individual that thrives in a fast paced environment that requires multi-tasking, the ability to time manage and transition from task to task with ease. Candidate will be working in a department with 3 other individuals, but will have to interact with various employees throughout the office.
Day to day duties will include, but are not limited to:
- Maintain and monitor compliance and violation ECB matters dealing with the following agencies: DOB, FDNY, DEP, HPD, DOH hearings, violations, agency filings, as well as ensure that entire portfolio is in compliance with various rules and regulations;
- Maintain the schedule for ECB hearings and ensure that the office is represented properly as need be, and provide backup as needed.
- Electronically execute documents for FDNY, DOB, HPD, etc
- Liaison between permit applications and management;
- Monitor façade inspections, plumbing inspections, elevator inspections as well as gather and maintain proposals for repairs,
- Clear non-ECB boiler violations, ensure buildings has a current Certificate of Operation and PBS certificate;
- Prepare vendor payment authorization requests when necessary;
- If there are open violation payments, work with the accounting department to expedite;

- Ensure that violations are resolved prior to the cure date;
- Notify commercial tenants when violations are cited to their premises and monitor until they substitute and indemnify us in writing;
- Notify non-tenants that are responsible for violations cited at our buildings and follow-up accordingly;
- Ensure all compliance and maintenance recommendations from banks and insurance companies are complied with, where reasonable;
- Review Jaffa related information to confirm that we are aware of any and all violations listed
- Maintain, monitor, and organize a file for each violation which has all the necessary documentation such as proposals, pictures, the violation, case law, etc.
- Maintain, monitor, and organize lead inspections, which will include requesting proposals, schedule abatements and submit corrections with dust wipes to close violation
- Assist in lead litigations, complaints, and other lead compliance matters
- Maintain, monitor, and organize compliance on non-ECB related elevator violations;
- Ensure that elevators are scheduled for CAT 1 and CAT 5 tests.
- Maintain, monitor, and organize schedules showing when CAT 1 & 5 Tests were completed and follow up with elevator maintenance support companies.
- Make sure that repairs required pursuant to CAT 1 and CAT 5 test are done within specified time period to avoid late penalties.
- Maintain, monitor and organize all liability and insurance policies;
- Maintain, monitor, and organize tenant policies, renter’s insurance documents, etc.
- Manage and compose tenant notices as needed;
- Coordinate with property managers to ensure they are kept up to date on the status of matters pertaining to their respective buildings;
- Prepare and provide reports to property managers, various departments, and executive staff members as required and requested
Requirements, Knowledge & Experience:
- Experience: 4-5 years
- Energetic, Personable
- Ability to prioritize assigned duties while working on multiple projects at one time
- Strong literacy in MS computer programs
- Fluent in a second language is a HUGE PLUS
- Familiar with various city agencies and local law
- Comprehend project plan drawings is a huge plus but not necessary
- Ability to work independently and meet critical deadlines
- Ability to supervise staff
- Superior organization, problem solving, oral and written communication skills

Pay: $65,772.00 - $90,510.00 per year
