Our client, a wealth management advisor based in FAIRFIELD is looking to hire an associate advisor to manage practice operations. The right candidate should have strong attention to detail, be process driven and have a desire to learn the financial planning business. In addition to have strong operations and back office skills, the right candidate must have a passion for communicating with clients of the firm.
Responsibilities:
- Help manage the workflow for all planning operations - this includes helping to design financial plans and recommendations
- Work-Flow Coordinate client case work to the right parties- including insurance operations, investment operations and financial planning design
- Create positive first impressions with clients and prospects by managing the office environment, client communication and ease of doing business
- Maintain calendar and schedule follow-up appointments
- Manage email and Microsoft outlook for the advisor
- Handle case notes, process correspondence and maintain client case file information
- Input data, print proposals and gather information in preparation for client/prospect meetings
- Contact clients to set up follow-up meetings with the team
- Contact clients to confirm receipt of forms or request return of completed forms
- Prepare and organize documents for a client’s financial plan review
- Manage the client appreciation and client loyalty plan (e.g. Send client birthday cards, contact clients for events, gifts or other appreciation efforts).
- Prepare client correspondence and execute on any client marketing programs
- Process client/prospect reservations for marketing events such as seminars and assist in preparation of seminar materials and event mailings
- Maintain supplies of current insurance/investment-related marketing materials
- Post on social media and update website information
Qualifications
- Experience in administrative support or customer service, preferably in the financial services and/or insurance industry
- Excellent oral and written communication skills
- Open to getting insurance license within 6 months of employment and then potentially investment licenses
- Familiarity with Microsoft applications and data entry and information retrieval software
- Demonstrated organizational and time management skills and ability to multitask, set priorities and meet deadlines
- Strong attention to detail with the ability to work with a high degree of accuracy
- Ability to work in a fast-paced environment
- Ability to work both independently and on a team
- Ability to maintain confidentiality
- Bachelors Degree
