Reporting to the Executive Director of Strategic Planning and Initiatives (ED), the Assistant Director of Career Education & Recruitment Events (herein Assistant Director) coordinates programs that foster career development and employer recruitment while engaging and supporting students in the discovery and pursuit of meaningful lives. Consistent with the mission of University Career Center (UCC), the Assistant Director also develops and cultivates meaningful connections with faculty and staff, employers, parents, and alumni to enhance and increase relevant opportunities for students.

Responsibilities

Programming (60%)

  • As specified by the ED, assists program directors by coordinating all aspects of career events that engage students and alumni (including those within the exploration, career communities, and employer relations teams)
  • Collaborates with Class Councils, Trustees, students, career services affiliate offices, employers and alumni in order to facilitate student engagement; arranges for joint funding/sponsorships as appropriate
  • Establishes program dates and secures locations
  • Coordinates all venue/space set-up, catering, parking, on-site registration, transportation, signage, A/V needs, security, supplies, promotional items, clean-up, etc.
  • Coordinates logistics for speakers including contracts, travel and gifts
  • Collaborates with the UCC Marketing Coordinator to ensure publicity and marketing materials are distributed to target audience(s) to include email, social media and promotional items
  • Collaborates with UCC Shared Services Team members and program directors to establish program budgets; monitors expenditures to operate within budget, assists with purchasing process for all supplies and promotional items; also assists with collecting on past due invoices as needed
  • Collaborates with Shared Services Team members on major purchases requiring contract negotiation and purchase orders
  • Coordinates registration processes and communicates detailed program information to registrants; monitors registration to ensure complete collection of necessary data and/or fees; coordinates staff and student volunteers to provide adequate coverage on program days; ensures proper set-up and manages check-in process on the day of programs
  • Attends programs as requested; ensures they are being conducted as expected
  • Interacts directly with vendors/service providers as needed to ensure quality products/service
  • Assesses program data/outcomes and implements recommendations for improvement; provides program summary data to appropriate staff for reporting purposes (i.e. budget breakdown, attendance information, participant feedback)
  • Coordinates event debriefing and documents information for future use.

External Relations/Programming (20%)

  • Serves as logistics coordinator for programming with constituents across Grounds
  • Develops and cultivates meaningful connections with faculty and staff, employers, parents, and alumni in order to enhance and increase relevant opportunities for students.
  • Communicates effectively with stakeholders and partners internal and external to UCC.

General Administrative and Operational Support (20%)

  • Trains and supervises Events & Operations Coordinator
  • Collaborates with Shared Services Team to ensure related policies and procedures are followed during performance of work (e.g. budgets, procurement, catering arrangements, business meal guidelines, travel planning, reimbursements, document retention, space reservations, etc.)
  • As time permits, serves as a back-up to the Customer Service/Information Manager and provides excellent customer service to all constituents via telephone and in-person; schedules appointments, manages the walk-in and check-in processes; provides career assessment instructions, greets visitors, etc. Remains knowledgeable of all UCC programs and services and information desk procedures in order to effectively serve in this back-up capacity.

Required Qualifications

  • Bachelor’s degree or equivalent experience
  • Strong interpersonal and customer service skills
  • Minimum 5 years of progressively responsible experience in event management
  • Outstanding ability to conceptualize, design and implement innovative career development programs appropriate for all levels of undergraduate students seeking careers in all sectors of employment
  • Demonstrated leadership, organizational, research and analysis, and strategic planning experience
  • Strong verbal and written communications skills
  • Ability to work independently
  • Ability to develop and manage budgets, and direct multiple projects
  • Demonstrated program development and events coordination experience
  • Proficient computer skills: MS Office Suite, Web-based technologies, Oracle, Advance, SIS, SIS Discoverer Reporting

Preferred Qualifications

  • Bachelor’s degree
  • Five years of progressively responsible experience in a university programming setting

Expected starting pay range is $64,000-70,000, dependent on experience and qualifications.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
