SHIPPING AND RECEIVING COORDINATOR/JAMESTOWN
RESPONSIBLE TO: Shipping and Receiving Supervisor
FUNCTION: Under the direction of the Shipping and Receiving Supervisor, oversees the shipping, receiving, routing and verification of all materials and supplies. Maintains, updates and verifies accuracy of inventory for military and subcontracting contracts. Ensures that paperwork processing and forwarding of documentation is done in a timely manner. Maintains a safe and orderly work environment.
SPECIFIC DUTIES:
1. Oversees all shipping and receiving for the organization using various equipment such as a forklift, personal computer, bar coder, printer, photocopier, fax machine and calculator.
2. Ensures that inventory is processed, including labeling, and forwarded to appropriate production and storage areas.
3. Verifies all incoming shipments for correct waybill information and visible damage. Communicates and follows up on shipment discrepancies. Contacts necessary personnel to ensure shipping related problems are resolved.
4. Loads and unloads trucks. Make notes on any damaged or missing product and forward paperwork to appropriate departments.
5. Prepares and processes merchandise to be returned to suppliers or delivered to customers. Arranges for best method of transport. Ensures shipping documents are complete.
6. Prepares and verifies documents, pack slips, receiving reports and labels, then forwards to appropriate departments for processing and maintains files of documentation.
7. Responsible for the identification of items and verification of counts to the packing slip and matches this to the Purchase Order.
8. Responsible for ensuring that all paperwork is signed, dated, matched and sent to the Accounts Payable Department with a copy of the Receiving Report.
9. Assists with maintaining production material to the various workshop production floors
10. Organizes inventory and transfer of stock within the warehouse.
11. Performs computer data entry for invoicing and receiving (in financial system)
12. Processes UPS shipments.
13. Perform all duties as assigned
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: Ability to learn and use computer programs related to shipping and receiving, including but not limited to the fax machine, copier, freight elevator and material handling equipment; strong customer service skills and the ability to effectively communicate with others both within and outside of the organization; good organizational skills and the ability to fulfill assigned responsibilities while adhering to time-sensitive deadlines; must be detail-oriented, including the ability to accurately count; Ability to maintain a variety of files and records in an orderly and organized manner. Knowledge of or ability to learn TRC policies relative to purchasing and receiving; sound ethical judgment with regards to control of TRC property. Willingness and ability to accept a flexible work environment, including working additional and/or non-traditional hours as needed or assigned. Physical condition or reasonable accommodation(s) commensurate with demands of job, including the ability to lift.
