Job Details
Assistant Manager: Responsible for providing direct support to the Property Manager in performing move-in/ move-out functions as well as administrating one or more critical property management functions (lease renewals, marketing, resident retention, and/or rent collection and reporting).
ESSENTIAL JOB FUNCTIONS:
- Customer Relations
- Receive, investigate, and resolve resident concerns. Meet with new residents and thoroughly explain their rights and responsibilities. Where applicable, coordinate social programs or other activities.
- Perform daily grounds inspections. Identify any problem areas, address all areas of concern with the property manager and maintenance supervisor, and ensure the discrepancy is immediately corrected.
- Walk model units and tour path each morning; ensure model is clean and orderly, must use aromatherapy.
- Draft and deliver renewal letters.
- Enter tenant concerns and enter work requests into Appfolio. Communicate work order request to maintenance supervisor, review completed work orders for quality control, conduct follow-up calls to tenants and enter completed work orders in property management accounting system.
- Property Management
- Entering of all daily activity to include move ins, move outs, renewals, notices and new leases.
- Perform move-in and move-out inspections.
- Process Deposit Accountings - to be completed within five days of move out. Prepare and submit move-out statement and disposition paperwork to facilitate final security deposit refund or charges to resident.
- Conduct weekly prepaid rent audit
- Collection of monthly receipts: Establishing and maintaining a solid collection policy in conformance with applicable local, state, and federal rules and regulations, and company policies. Preparation of 5 day and 30 day notices. File delinquent renters with the attorney, per local directive, to minimize collection losses. After 30 days, submit all remaining delinquencies to applicable collection agency.
- Maintain current delinquency less than 1% each month of billed revenue; actively pursue all aged delinquency.
- Conduct marketing analysis as directed by community manager.
- Draft and implement marketing plan as directed by Community Manager.
- Reports and paperwork: Preparation of all required and assigned reports, on a daily, weekly, or monthly basis as assigned. Ensure all reports are accurate and submitted prior to deadlines.
- File maintenance: Establish and maintain complete files of correspondence, documents, and unit maintenance files.
- Complete a file audit twice a year: once in January and July.
- Perform security deposit audits as required.
- Other duties as assigned.
- Employee Relations
- In the absence of the community manager, perform daily supervision of property staff. Maintain employee files, attendance records, performance records and corrective action records.
- Fair Housing
- Must have first hand knowledge of Fair Housing and Retention as stated by law.
- Complete Grace Hill Fair Housing training curriculum

- Direct/Indirect Supervision (hires, prepare appraisals. Indirect means there are employees who report to a supervisor/manager who then reports to this position) Appx number of subordinates: 1 - 3
