Office Manager

Summary:
The Office Manager oversees the smooth operation of The Rowe Center's office, ensuring that critical systems and databases are maintained and that staff provide excellent guest services. This role involves developing best practices, managing office staff, and overseeing group rentals. The Office Manager also supports the Executive Director in various administrative tasks.
Core Duties and Responsibilities:
Office Management:
- Maintain a professional, collaborative, and friendly office environment.
- Schedule all hourly employees to ensure proper and equitable coverage.
- Ensure that the office has coverage during business hours and extended program hours.
- Handle sensitive information confidentially.
- Oversee the operation of Rowe Center CRM and relevant software (Little Green Light, Asana).
- Supervise and assign tasks to office staff, ensuring timely and accurate registration entries.
- Edit and maintain documents such as the employee handbook, camp guide, and behavior agreements.
- Oversee scholarship funds and disbursement.
- Read program evaluations and share feedback with staff and presenters.
- Support the Marketing Manager with feedback, edits, and proofreading.
- Attend weekly Manager meetings and meet with the Executive Director regularly.
- Assist the Executive Director with hiring and training staff (year-round and seasonal).
Rentals and Adult Communities:
- Serve as the primary point of contact for rentals.
- Work with Adult Community Leaders to ensure successful programs.
- Write and share yearly budget agreement letters with the Executive Director.
- Confirm staff leaders' housing and payments.
- Keep detailed notes on kitchen and facilities needs for programs.
- Oversee group rentals, negotiating pricing and logistics with rental organizers.
- Conduct tours of the grounds and facilities with prospective conference leaders and rental organizers.
Center Responsibilities:
- Assist the Executive Director with managing housekeeping staff.
- Help create a welcoming atmosphere for guests.
- Coordinate the Volunteer Host Program.
