Overview
The Regional HR Coordinator (RHRC), with support from the HR Manager, is primarily responsible for providing direct HR support to the following Corps/locations: Dover, Elizabeth, Englewood, Hackensack, Jersey City, Kearny, Montclair, Morristown, Newark Area Services, Newark Ironbound Boys & Girls Club, Newark Westside, Orange, Passaic, Paterson, Plainfield, and Union City.
Responsibilities
HR Information Systems (HRIS)
- Serve as the primary point of contact for UKG Pro and UKG Ready for assigned locations.
- Enter and maintain employee data in UKG Pro/Ready, ensuring data accuracy & integrity, including new hire enrollments, job, classification, & salary changes, PTO/benefits changes, personal information updates, document uploads, and terminations for assigned locations.
- Assist employees with account lockouts and password resets for assigned locations. Refer complex technical issues to IT.
- Run standard reports on UKG as needed, and custom reports on Microsoft BI as requested.
- Assist employees with general UKG questions and concerns, escalating questions to HR Director and/or HRIS Director as needed.
- Collaborate with the HR Manager & THQ HRIS team on inter-company transfers and mass employee changes.
Recruiting Coordination
- Guide and assist Corps Officers and Managers/Department Heads through the recruiting and hiring process for assigned locations.
- Prepare job requisition and new hire paperwork for CFC/DOA approval, working with hiring managers to ensure completion and accuracy before submission.
- Create and edit job postings for approved positions, posting internally and externally through Lotus Notes and iCIMS.
- Assist hiring managers with interviews and reference checks, as needed.
- Conduct background checks on all employment candidates for assigned locations.
- Run the Territorial Registry Check on all candidates for assigned locations before final CFC/DOA approval.
- Manage the Red Kettle Campaign hiring process for assigned locations:
- Process incoming applications,
- Complete all contingency checks (background & territorial checks),
- Enter hired candidates in UKG Pro, and
- Terminate seasonal candidates at the end of the season.
- Manage employee new hire onboarding for assigned locations:
- Ensure receipt of all new hire paperwork (including I-9),
- Conduct new hire orientation with all new employees and transfers for assigned locations,
- Complete New Hire Onboarding Checklist in a timely manner to ensure a smooth onboarding experience.
- Coordinate with IT and managers on all new hires, transfers, and reclassifications to set up accounts for assigned locations.
Performance & Development
- Support divisional Annual Development Review and merit increase process by tracking completion, following up with employees and managers as needed, and initiating salary changes in UKG Pro for assigned locations.
- Address minor employee relations concerns for assigned locations, escalating larger issues to the HR Manager as appropriate.
- Assist employees and Officers with general & specific HR questions with excellent customer service.
- Assist with additional projects, employee events, and additional duties as assigned by the HR Manager.
Qualifications
- Degree in a relevant field preferred (Associate/Bachelors).
- 1-2 years of proven experience in HR and/or recruiting.
- Experience working with HRIS applications, especially UKG Pro, preferred.
- Excellent verbal and written communication skills, with strong attention to correct spelling and grammar.
- Knowledge of relevant federal and state employment laws and regulations.
- Advanced technological proficiency, including experience with Office 365 products (Teams, Outlook, Word, Excel, PowerPoint, etc.) and Adobe Acrobat Pro.
- Excellent organizational skills, with the ability to manage multiple priorities at once.
- Strong attention to detail with a particular focus on data quality & integrity.
- Effective planning and priority-setting, with the ability to manage several projects with competing deadlines.
- Reliable and trustworthy, with the discernment to handle sensitive and confidential matters appropriately.
