Job Objective: Assists in managing major donor caseloads, prospect research, communications, and general office procedures.

Administrative Duties (50% of workweek)


  • Coordinates data entry of donor reports and continually updates donor databases.
  • Coordinates detailed donor file information sharing with all Donor Relations staff.
  • Organizes monthly major gifts mailings (Touchpoints) including but not limited to: program updates, invitations, personalized cards, and gift proposals.
  • Composes correspondence and prepares proposals and presentations. Drafts written responses to requests for information, responding by phone or email as appropriate.
  • Coordinates calendar for Donor Relations Directors, including travel arrangements and itineraries.
  • Performs clerical and database maintenance of donor reports. Keeps monthly reports updated and generates copies of reports to the Executive Director of Development, and THQ.
  • Fields calls for the supervisor as needed. Takes messages; responds to routine inquiries.

Fundraising (50% of workweek)


  • Manages the IRA and Stock tax receipt process across the division.
  • Performs donor and prospect research by pulling data from existing donors from our files. Uses research tools, Google Alerts, ResearchPoint and other search engines for research.
  • Captures new information for entry into portfolio managed donor’s database record the regarding donor’s interests, relationships, life events, and information about capacity for philanthropic giving.
  • Learns and stays current with information about Salvation Army programs and projects, and effectively communicates the mission to donors.
  • Assists with logistics related to William Booth Society and the Bed & Bread Club.

Minimum Qualifications:

Education: High School diploma or equivalent; Associate’s or Business school degree preferred.


Experience: 5-6 years experience in an administrative support role for a mid-level manager or higher.

Skills/Abilities:

  • General knowledge of business and an excellent command of the English language.
  • Knowledge of secretarial, office administrative procedures and knowledge of use and operation of standard office equipment.
  • Proficient in MS Word, Excel, Power Point, Access, Publisher, e-mail and the Internet. Salesforce experience preferred.
  • High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Team player, with the ability to collaborate effectively with staff and volunteers for successful achievement of position and department goals.
  • Able to work independently in a fast-paced environment. Must be highly organized and able to effectively manage multiple projects and competing priorities with professionalism and grace.

This job is performed in an office environment at normal room temperature. The noise level in the work environment is usually low. This position has the option of being hybrid with up to two days a week worked remotely.
