The Salvation Army Mission Statement:

Job Objective:
As the secretary, you will be responsible for receiving and directing all calls, mail, and volunteers. You will also make sure the office environment has necessary equipment and supplies, enter and record mailed donations, and be generally helpful to the other office staff, ensuring that the Mission of The Salvation Army is effectively carried out.
What You Will Do:
- Communication: Answer phones, email, and social media messages throughout the day. Update website with pertinent information. Make sure there is clear information going out into the community.
- Mail: Open, sort, and distribute mail from mailbox. Maintain postage machine and add postage as necessary.
- Volunteers: Record, schedule, and report on volunteer hours.
- Newspaper: Check daily for articles regarding The Salvation Army and maintain a publicity binder. Check obituaries for donors.
- Office Supplies: Order or buy office supplies as needed.
- Sunday bulletin: Maintain prayer list, enter announcements, print and fold. Send out monthly reminders to participants.
- Donations/Salesforce: Send thank you letters to donors over $200 from mail appeal.
- Copier: Maintain copier and call in any necessary repairs needed. Send in reports as requested by e-mail.
- Hidden Falls Camp: Make flyers, register children, check them in on the day of departure, check heads and organize drivers.
- Advisory Board: Notify members of meetings, maintain RSVP list, update roster as necessary. Attend meetings and take minutes.
- Mailing lists: Maintain mailing lists for different ministries/activities including church, loving & caring, special events, etc.
- Seasonal events:
- Back to school giveaway: make flyers for agencies, news releases and schedule volunteers
- Thanksgiving: make flyers and send news releases
- Women’s Ministry auction: make flyers
- Volunteer Bellringers: Send out letters to previous volunteers, schedule volunteers, maintain database and communicate with Kettle coordinator.
- School Food Boxes: Call schools for permission to collect food in December, make boxes and arrange deliver and pick-up.
- Other duties as assigned.
Minimum Qualifications: The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.
Education: High School Diploma or equivalent
Background Checks: Position requires a background check to be completed. Findings may disqualify an individual for this position
Experience: 2 years of secretarial experience preferred.
Certifications: Must have a valid driver’s license and maintain The Salvation Army Driver’s qualification standard; must complete Safe From Harm training within the first 90 days of employment.
Skills/Abilities:
- Able to speak, write and understand English in a manner sufficient for effective communication with leadership, field personnel, and clientele
- Computer proficiency with Microsoft products and ability to learn electronic reporting systems
Supervisory Responsibility: No supervisory responsibilities
