Position Overview:
We are seeking a dedicated Virtual Assistant to support our Operations Manager in various administrative tasks. This role will involve assisting in data management, documentation of Standard Operating Procedures (SOPs), and ensuring smooth day-to-day operations.
Responsibilities:
- Assist the Operations Manager in organizing and maintaining operational data, including client information and project timelines
- Document Standard Operating Procedures (SOPs) for various aspects of our business, ensuring clarity and consistency in processes.
- Manage and update internal databases and systems to ensure accuracy and accessibility of information.
- Provide administrative support such as scheduling meetings, responding to emails, and handling other correspondence.
- Assist in the coordination of events by liaising with vendors, managing logistics, and maintaining event calendars.
- Conduct research and compile reports as needed to support decision-making processes.
- Collaborate with team members to streamline workflows and improve efficiency in operations.
Requirements & Skills:
- Proven experience as a Virtual Assistant or in a similar administrative role.
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively.
- Strong attention to detail and accuracy in data management and documentation.
- Proficiency in using productivity tools such as Microsoft Office Suite, Google Workspace, and project management software.
- Excellent communication skills, both written and verbal.
- Knowledgeable in Canva for creating visually appealing documents and graphics.
- Familiarity with HoneyBook for managing client communications and project workflows.
- Experience using ClickUp or similar project management tools for task organization and collaboration.
- Proficiency in utilizing Google Drive for file storage, sharing, and collaboration.
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaborate effectively in a remote team environment.
- Experience in the events industry or a related field is a plus.
