PURPOSE
The Business Coordinator I, under general supervision, provides support and coordination for a full range of business activities requiring independent judgment, including assisting in accounting, budgeting, purchasing, and fiscal oversight for the Information Technology Division.
RESPONSIBILITIES
Functional Areas #1 : Operations & Purchasing
Percent Effort : 70%
Perform procurement for the IT department
Create travel authorization and expense reports for staff in the IT department
Review requests for purchases for appropriate procurement methods according to university guidelines and best practices
Assist in ensuring all contracts have terms compliant with university requirements and IT Division preferences
Assist in ensuring all contracts have been approved by appropriate IT Division personnel.
Coordinate with Contracting and Purchasing Sections
Monitor contracted licenses / services and initiate the renewal process to ensure no lapse in service.
Create and maintain operating procedures for all duties assigned
Receive and document items that have been ordered in the procurement system in a timely manner
Monitor open PO’s and invoices, ensuring items are completed on time and late penalties are avoided
Backup the other Business Coordinator positions in preparation of purchase requisitions, procurement card reconciliations, payment processing, renewal notifications, and updating contract record / renewals automated database tracking system
Functional Areas #2 : Financial Management
Percent Effort : 30
Monitor, analyze, and reconcile assigned IT departmental accounts
Monitor purchases and ensure that items have been budgeted, ensure all approval documentation is provided for unplanned spending
Prepare adjusting / correcting budget and expenditure transactions
Review the IT departmental expense reports, procurement card charges, travel reports, and purchase orders to ensure proper funding sources.
Assist with budget development, budget management, budget requests, and fiscal requests for the IT department
Other duties as assigned
QUALIFICATIONS
Bachelor’s degree in applicable field.
Two years of related experience in Customer Service or Information Technology.
Additional experience may be used as a substitution for the minimum education requirement.
Associate degree in in applicable field and four years of related experience in Customer Service or Information Technology.
High School Diploma and six years and of related experience in Customer Service or Information Technology.
Intermediate to advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Knowledge of intermediate to advanced troubleshooting, client relations, formulating and contributing ideas, and knowledge of the Information Technology Interface Library (ITIL).
Ability to multitask and work cooperatively with others. Excellent written communication, analytical, interpersonal, customer service and organizational skills.
PREFFERED QUALIFICATIONS
Course credit or certifications in Information Technology.
ITIL, HDI, Microsoft, or other IT industry certificate(s).
University or IT experience.
SALARY $42, - $46, Annually Approx. ( Dependent upon education and experience.)
