Job Summary:
This person will work to maintain all media billing requirements, including inputting vendor invoices, producing monthly discreps for the buying team, and processing all media billings. They will also work closely with the Finance Department and provide updates on weekly AR reports, job status and invoice payment. Additional primary duties include assisting in developing and implementing media buys, ensuring ads run accurately, entering invoices, managing billing discrepancies, and helping with general clerical support to members of the team. Must have excellent Microsoft Excel skills, pay great attention to detail and think analytically.
Responsibilities:
- Primary responsibility is to play a supporting role to the Media team, handling some administrative tasks in addition to strategic media tasks
- Responsible for regular buy maintenance for media schedules. Responsible for sending orders, confirming schedules, inputting under delivery and maintaining client and media vendor relations.
- Optimize effectiveness of media schedules by tracking all buy details including guideline compliance, discrepancy management, in-flight verification of spots and program changes for on-air buys. Meet stringent deadlines for placement and stewardship of buys to ensure timely reporting to the client.
- Conduct meticulous schedule maintenance by checking post logs weekly, monitor weekly HH ratings, negotiate in-flight bonus, and approve makegoods, all to assure station delivery against the target demo.
- Responsible for entering invoices, auditing and resolving billing discrepancies within 60 days of the invoice date.
- Primary point of contact for media vendor community, maintaining relationships with vendors as the “face of LatinWorks Media,” setting up regular meetings with agency media team and vendors as deemed necessary or appropriate
- Responsible for creating buy recaps and client schedules to be sent to the client after the buys have been placed
- Assists buying team with entering and matching vendor invoices with purchase orders to determine accuracy of information on invoice
- Maintains filing system on all open and closed invoices, jobs and estimates
- Work closely with Account Management teams to reconcile certain media invoices
- Reviews vendor statements for possible past due amount/credits
- Maintains confidentiality of financial data and related records
- Works directly with the accounting department to provide the status of jobs, AR update and invoice payment
Qualifications:
- Proficiency in reading, understanding, and manipulating Microsoft Excel
- Detail oriented and well organized, with strong quantitative skills
- Can figure out processes necessary to get things done; understands how to separate and combine tasks into efficient work flow; can simplify complex processes; gets more out of fewer resources
- Strong communication skills
- Ability to multi-task and work effectively and flexibly in a fast-paced, changing environment
- Meticulous with every task
- Able to work successfully with teams, handle multiple projects at once and meet tight deadlines under pressure.

- 1 year working in an ad agency or media environment considered a plus
