What are the responsibilities and job description for the Hotel Events Coordinator position at Thompson and tommie Hotels?
The role
The Event Coordinator is a bridge between Event Managers and guests planning both events and guestroom blocks within the hotel. This includes, but is not limited to, corporate meetings, association conferences, non-profit galas, citywide conventions, weddings, and holiday parties. The Event Coordinator requires high attention to detail and a desire to learn and grow within events.
Responsibilities include:
- Administrative support to the Event Sales and Planning Team
- Organizing internal bookings
- Conducting hotel tours
- Answering phones while in the office and providing guidance to clients on behalf of Event Sales and Planning Team
- Assisting Event Managers with incoming leads
- Effective management of small guestroom blocks including the understanding of group’s history and pick up performance with guidance from managers
- Prepare group resumes and event orders
- Positive collaboration with hotel departments and vendors
- Educating customers about Hyatt’s planner technology
- In-person customer point of contact during event execution
- Actively identifying and recommending ways to enhance the attendee experience
- Post event bill review and history reports
- Generating reports
Our Event Coordinator is expected to be actively involved in our community; industry related organizations as well as all Hyatt associate programs.

Both hotels are anchored on the ground floor by The Diner Bar The Grey Market, a street side concept serving daily fare for locals, residents and guests alike and helmed by award winning Chef Mashama Bailey. This mixed use project will also feature a residential tower – Siena – and 10,000 square feet of retail space.

Qualifications
- A true desire to satisfy the needs of others in a fast-paced environment while carrying positive attitude and living Hyatt’s values and mission.
- Team oriented individual able to adapt to an ever-changing hospitality and event industry
- Prior experience in Banquet Operations & Wedding Planning in a hotel setting preferred
- History of superior customer service satisfaction
- Proficiency desired in Envision Sales Suite, Opera, Social Tables, Sertifi, Hyatt Planner Portal, Microsoft Office.
- Candidates should be extremely detail oriented, organized and be able to handle a fast-paced environment
- Willingness to learn tasks in other departments in order to assist during busy times
- Refined verbal and written communication skills
- Strong analytical, organizational and interpersonal skills
