JOB DESCRIPTION: CONCEIRGE EXECUTIVE SUPPORT
DEPARTMENT: Administration
REPORTS TO: Chief Executive Officer
Full-Time/ Non-Exempt
POSITION PURPOSE:
The Concierge Executive Support is accountable to demonstrate, and role model the mission, vision, values, and Four Cornerstones of the organization. The position supports the Chief Executive Officer, Chief Operating Officer, and Administrator. This position is responsible for creating positive, memorable first impressions with all stakeholders and completes various duties related to the Board of Directors, coordinating calendars, retention of documents and contracts, mail, preparing or creating documents, and managing systems related to policy and credentialing.
RESPONSIBILITIES:
Greets and directs customers
Answer facility telephone and screens and directs incoming calls
Ensure reception area, conference rooms are presentable
Orders and maintains office supplies and inventory
Maintains schedules for conference rooms, lodge, and other common spaces.
Coordinates calendar for CEO, trainings, dept head meetings and special events (picnic fundraiser)
Prepares, assembles, and delivers Board of Directors meeting materials and regulatory notices
Coordinate logistics of Board meetings such as meeting dates, times, location, and board availability
Prepares correspondence, memos and forms
Updates Board rosters
Records and documents confidential Board minutes
Update phone lists
Keep mailbox list updated
Change main phone message if needed
Order business cards
Oversees copier functionality
Retains all Medicare validation and changes
Responsible for preparing and retaining Registration and Licenses – Skilled nursing/Assisted Living/State registrations
Document editing and letter – writing
Management of all contract documents
Sorting and distributes mail
Creates new hire files and assists with filing for human resources
Other Duties as assigned
Skills:
Ability communicate and collaborate effectively with key constituents in a virtual environment using TEAMS, email and telephone and other technologies
Ten Key Proficiency
Extensive Knowledge and Practical Skills with Excel spreadsheets and Graphics, Word, Adobe, PowerPoint, and Outlook along with various accounting software, payroll, and accounts receivable software.
Education:
High School Diploma or equivalent.

Employment Variables:
Required Quantiferon Tuberculin Testing. Prior to hire, Three Links conducts a background study, possible fingerprint, and photo authorization through the Minnesota Department of Human Services. This position is considered “on-call” and may be expected to work beyond normal working hours when necessary. Shift hours may vary from time to time in order to communicate and coordinate as needed. Occasionally the need to lift and carry equipment and supplies up-to 35 pounds can occur. Frequent twists, stoops, bends, squats, kneels and crawling is required. This position necessitates standing, walking, and sitting. Frequently reaches above, at shoulder level or below shoulder level. Daily needs for climbing stairs. Working outdoors is necessary in all seasons and all types of weather. Must be able to walk on uneven ground. Occasional exposure to microbial and other infectious agents, including blood/body fluids, hazardous chemicals as identified by SDS manual, and latex, plastic, and vinyl materials. Occasional risk of bodily injuries due to unpredictable behaviors of residents.
Knowledge:
Ability to communicate and comprehend; ability to communicate with and motivate employees with diverse ages and backgrounds; knowledge and understanding of state and federal regulations for skilled nursing, assisted living and independent living.
Special Abilities/Training:
Must be able to work in stressful situations. Must be able to clearly communicate in English orally and in writing. Must read small print in typed and written material. Possess necessary skills to continually comprehend and communicate with residents and co-workers. Able to follow written plans of care and to respond to emergency alarms. Computer skills are essential, using electronic health record, FAX, scan and copying services are required.
