Role Title: Design Project Manager

Manager: Head of Development

Role Summary: As the Design Project Manager you will oversee the design of new clinics from site selection through close out, working closely with Tia’s Head of Design and the Development team. You have a background in architecture and will be responsible for the design, architecture, engineering, and space management of new Tia clinics. You will create, maintain, and nurture relationships with design partners and consultants, serving as the bridge between external partners and internal Tia teams. You are proactive in delivering creative solutions and adaptable in the face of changing condition, as well as adept at developing design standards for scale, while maintaining the unique design of Tia’s brand.

  • Proficiency in MS/Google Suite, and Smartsheets
  • Working knowledge of Autocad, Revit, SketchUp, Adobe Suites and other design modelling /drafting software
  • Architecture degree (preferred but not required)

1. Oversee Design from site selection through close out in the development process for building and opening new spaces

  • Ability to resolve conflicts between real estate, construction, facilities, operations, and design team members, both internally and externally
  • Streamline the process from preliminary fit plan to 100% CD
  • Proactively communicate with real estate to ensure they are providing necessary LOD as-built and building plans necessary to progress the design phase during the real estate site selection phase
  • Create preliminary fit plans as needed for urgent projects, otherwise support the management of design vendor management in the creation of preliminary fit plans
  • Manage design consultants from site selection through close out
  • Review all architectural plans, shop drawings, lighting proposals, and other documentation related to design development and construction processes
  • Ensure work is done in compliance with all relevant building and safety codes
  • Travel to sites, as needed, to monitor on-site processes, procedures, and systems for compliance with construction and design drawings and code compliance
  • Ensure a smooth transition from design to construction by providing complete and accurate documentation for the construction handoff, including but not limited to vendor costs, contacts, drawings, permit status, lease language and exhibits

2. Responsible for keeping the design of new spaces on schedule and under budget

  • Effectively manage resources under shifting priorities to meet expected results.
  • Manage responsibility of maintaining, overseeing, tracking, evaluating and refining the overall project budget and schedules including progress reporting on capital expenditures
  • Bid out projects to 2-3 design partners per project, ensuring the best pricing possible
  • Ensure soft costs and FF&E spend are reasonable on each project
  • Ensure target dates, milestone events and deadlines are being met
  • Keep teams on schedule, strategize and work toward solutions to avoid unforeseen delays
  • Be creative with schedules, shortening design schedules when possible

3. Responsible for consultant and external vendor coordination. Serve as the bridge between external teams and the internal Tia team. Strong, consistent communication between all teams.

  • Issue progress updates as needed regarding costs and timelines
  • Attend and lead (when necessary) weekly project meetings and produce status reports
  • Coordinate efforts across entire project between architects, designers, engineers, consultants and Tia team members

4. Develop Tia design standards for projects with Tia’s interior design team, setting Tia up to scale to 15 clinics per year

  • Work closely with the Head of Design and Interior Design team to set design standards across materials, furniture, fixtures and equipment. Ensure design intent is always maintained
  • Support and update the ongoing development and maintenance of design standards book, kit of parts, and prototypical plan set and design
  • Work with national vendors to set up national contracts; negotiate contracts, terms and deadlines with vendors and suppliers
  • Always have current working knowledge of building and health codes and compliance issues.
  • Create a tracking and inventory system for FF&E in all new spaces
