Lawrence Berkeley National Laboratory is seeking a part-time Diversity, Equity & Inclusion Coordinator to provide advanced-level administrative support across a wide range of projects for the Inclusion, Diversity, Equity & Accountability (IDEA) Office.

This individual will have the ability to exercise excellent judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The individual must be able to work independently on projects, from conception to completion, and work effectively and calmly under pressure to handle a wide variety of activities and confidential matters with discretion.

 

In this position, you will be a key enabler of the IDEA Office’s strategy to embed principles of inclusion, diversity, equity, and accountability into Berkeley Lab’s culture and into its mission-driven work of bringing science solutions to the world. What You Will Do:

Under general direction of the Chief DEI Officer, provide advanced-level administrator support to the IDEA (Inclusion, Diversity, Equity & Accountability Office), including:

  • Serve as the central administrative point of contact for the IDEA Office, and independently respond to questions and requests in a timely manner (including IDEA email account).
  • Oversee scheduling of key IDEA meetings and management of Chief DEI Officer’s calendar; attend meetings, take notes, and ensure appropriate follow-through of relevant action items discussed. Provide support for travel, including scheduling and reimbursements.
  • Maintain and track multiple projects using technology and implementing project management solutions; resolve various administrative support requests; enhance existing Office organizational processes wherever possible.
  • In collaboration with IDEA team members, provide support as needed to various IDEA groups at Berkeley Lab (e.g., Senior Leadership Council, Employee Resource Groups, IDEA Chairs Council, Lab Ambassadors); in partnership with ERG Program Manager, support key cross-ERG programming and event planning related to heritage months and cultural awareness days.
  • Coordinate and organize logistics for meetings, events, speakers, development programs, and facilitated conversations meant to help Berkeley Lab employees deepen their IDEA knowledge, skills, and behavior; assist with the logistics for events and meetings, including calendar management, technical production (e.g., Zoom breakout rooms, chat monitoring), and IT and Facilities support. For onsite meetings, coordinate conference services, including ordering food and supplies, securing conference rooms, gate passes, and parking.
  • Add curated content to the IDEA websites and submit announcement requests and Berkeley Lab calendar items to “Elements,” the Lab’s daily e-newsletter; with CDO, partner with Strategic Communications to support execution of website posts, e-blasts, internal newsletter messages, social media posts; monitor employee engagement on various digital channels and provide supportive information and responses to employees, as needed.
  • Provide procurement assistance, including subcontracts, placing orders through ePro and eBuy, tracking orders to ensure fulfillment, and processing reimbursements and honoraria.
  • Assist with various types of reports, presentations, and letters as needed, including drafting, and editing content and formatting, and managing any submissions needed from contributors and collaborators; create Google Forms and track data on IDEA impact measurement goals, as well as assist with IDEA reporting when appropriate; develop presentations and spreadsheets and categorize files in an organized and efficient manner.

 

What is Required:

  • Minimum of 4 years of related and specialized high-level administrative experience in support of an executive or executive office, preferably in a complex business or academic environment; or an equivalent combination of education and experience.
  • Experience partnering and interacting with a broad range of stakeholders, internal and external, to the organization; able to establish and maintain cooperative and collaborative working relationships with a variety of people at all levels of an organization.
  • Excellent skills in planning, organizing and administering project tasks/activities to accomplish corporate goals; excellent track record in assessing and improving existing organizational and administrative processes to create greater efficiency for end-users.
  • Ability to anticipate gaps and proactively develop effective solutions. Ability to plan for contingencies and to handle unexpected situations often.
  • Demonstrated strong attention to detail and ability to produce quality work with a high degree of accuracy, including proofreading.
  • Advanced level communication and composition skills to communicate effectively in both verbal and written forms in standard business English.
  • Track record of effectively and successfully handling various situations with excellent independent judgment, diplomacy, discretion, and confidentiality. 
  • Advanced level of computer and project tracking skills and full knowledge of computer systems and software applications, particularly those used for project management, including Google applications and collaboration tools and Microsoft Office suite. Ability to learn or experience troubleshooting and resolving technological problems.
  • Ability to appropriately follow, analyze, and interpret policies and procedures for travel, expense reports, procurement, equipment inventory, space, safety, gifts to the Laboratory, and memos of understanding.
  • Passionate about advancing a diverse, equitable, and inclusive organization, and familiarity with DEI-related organizational issues.
  • Ability to work extended hours as needed.
  • Valid driver’s license.

 

This position is budgeted to pay $3,200 to $3,550 monthly, or $38,400 to $42,600 annually, prorated for 20 hours per week (equivalent to a full-time annualized salary of $76,800 to $85,200), which fits within the full salary range of $71,520 to $115,236 for the Administrator. Salary for this position will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, certifications, plus also aligned with the internal peer group.

 

Notes:

  • This is a part-time career appointment (20 hours per week), eligible for benefits, and exempt (monthly paid salary) from overtime pay.
