Titan Solar Power is currently seeking an experienced and driven Office Manager to join our team.
Summary:
Titan is looking for a detail-oriented, proactive & hardworking Office Manager. The Office Manager position is responsible for overall front office activities, including the reception area, mail, purchasing requests for office & facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings.
Responsibilities:
- Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Supervises and coordinates overall administrative activities for the Office Administration Department.
- Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities.
- Negotiates the purchase of office supplies, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Supervises the maintenance of office equipment, including copier, fax machine, etc.
- Responsible for the facilities day-to-day operations (such as directing incoming guests to appropriate areas, distributing access to Company property, Coordinating Wellness schedule)
- Participates as needed in special department projects (to include ROC support & customer service calls as needed.)
- Identify common issues and develop suitable solutions and processes. Address incoming inquiries in a timely, efficient, and professional manner.
- Update notes in internal database for all related tasks and manage project status changes
- Follow up on inquiries about project status in a timely, efficient, and professional manner
- Email and phone communication with colleagues to ensure projects move smoothly, as needed.
Requirements:
- High school diploma or equivalent
- Outgoing by nature and be customer service oriented
- Exceptional attention to detail
- Excellent communication skills
- Highly efficient multitasking skills
- Entrepreneurial mindset with a strong work ethic
- Proactive problem solver with effective communication
- Being bilingual is an ideal qualification, but not required
- Renewable Energy background preferred

- Enthusiastic and passionate about the solar industry
- Have a sense of urgency and thrive in a fast-paced environment to effectively prioritize, multi-task, and manage time well

- Proficient with Mac IOS applications such as NetSuite, Adobe Acrobat, MS Office, and GSuite
- Excellent written and verbal communication skills
- Excellent customer service skills required
- Ability to work well with others in a collaborative team environment
- Ability to navigate and respond in our project managing CRM.
- Be comfortable with receiving inbound and making outbound calls relative to Company needs.
