Duties
Job Summary:
Supervise the day-to-day operations of banking, AP, AR / PL billing units. Provide management support. Ensure the timely handling of bank related processes, such as Positive Pay, ACH and wire transfers, etc. Ensure timely handling of office mail processes and other administrative functions. Ensure the timely processing of company bills, employee expense reimbursements, etc. Maintain the company’s expense bank account, AP email box and subledgers for various expense accounts. Ensure the timely processing of PL billing invoices, receipt of payment from appropriate payors and recording of PL income accrual and allocation to appropriate office locations in the general ledger. Supervise the budget preparation processes. Assist in completing business plan and other special projects.
Essential Job Functions:
- Supervise the day-to-day operations of banking, AP, AR / PL billing units.
- Provide management support, including, but not limited to improving work processes, cross-training, supervising and developing staff members, reviewing timesheets and time off requests, setting up goals and accountabilities, completing performance evaluation, etc.
- Supervise banking and administrative staff members to ensure the timely handling of bank related processes such as Positive Pay, ACH and wire transfers, etc., as well as, office mail processes and other administrative functions such as office supplies inventory, office equipment maintenance, offsite storage, etc.
- Supervise accounts payable staff members to ensure timely processing of company bills, employee expense reimbursements, etc., as well as, the maintenance of the company’s expense bank account, AP email box, and subledgers for various expense accounts.
- Supervise accounts receivable / PL billing staff members to ensure the timely issuance of PL billing invoices, receipt of payment from appropriate payors, and recording of PL income accrual and allocation to appropriate office locations in the general ledger.
- Supervise the budget preparation processes, including, but not limited to compiling budget requests from department heads; preparing and reviewing budget worksheets; and presenting budget to CEO for review and approval.
- Assist in completing business plan and other special projects.
- Maintain compliance with general accounting practice.
- Responsible for complying with proper internal controls as necessary to conduct job functions and/or carry out responsibilities and/or administrative activities at the company.
