Operations Lead

Job Purpose

TMF Funds business in North America is looking for a talented leader with operational experience to further lead office operations. It will also oversee setting those teams up for scalability with forecasted growth. This role will also be leveraging and implementing additional technology into the service offering for internal teams of treasury and investor relations.

Oversee and manage our team which is currently approximately 10 team members. The operations team supports internal and external delivery roles. This role will also liaison with other key stakeholders in operational elements that are delivered through other teams within TMF globally. This team member will operationally support the full life cycle of operations.

The role has also cash and investor services responsibilities to the delivery of client services. This role will be able to help drive strategy, implement technology with the team, problem solve, and will have delivery duties for certain processes as a primary or as a backup in certain functions within the operations remit.

We are looking for an experienced leader to manage these teams and take responsibility for our team that provides a high-quality service model in Raleigh, North Carolina.

In this role, the successful candidate will need to:

  • Be the lead to own new technologies & resource planning for current expansion
  • Be a lead to multiple teams and be able to understand key operations both internally and externally for clients
  • Act as a trusted partner to the Directors and Head of Fund Services NA to help areas of business development and internal communications
  • Identify and improve operational quality and consistency; increasing its use to drive improvements partnering with regional Operational Excellence team
  • Manage complex projects to deliver within quality, and time constraints for shared services
  • Provide regular, accurate and appropriate reporting to key stakeholders

This role will report to North Carolina, but may have larger scope across the USA and will report to the Head of Fund Services North America.

KEY RESPONSIBILITIES

Lead operational resources for internal operations

Manage team which delivers quality and timely service

  • Lead and control the execution of the team through: analysis, design, and delivery
  • Operations supporting function of delivery through managing the team and preparing a calendar for tracking key deliverable dates and coordinating filings, ensure proper and timely mailing key documents to stakeholders, and training the team on proper controls for reviewing documents that support our delivery to clients and investor services documents
  • Assess, plan and supervise the projects related to internal operations
  • Identify, mitigate and manage, shared services risks
  • Incorporate quality review and governance processes

Identify and communicate updates to internal stakeholders

  • Liaison for our internal CRM management and business development processes.
  • Liaison with IT as the main local contact to ensure IT tickets and local office delivery is timely completed and that the team is supported
  • Build and maintain relationships with stakeholders who have accountability for operations and client delivery

Provide regular, accurate and appropriate reporting to the different stakeholders

  • This role will support internal operations and will own our internal CRM management for Fund Services NA, process communication to transition onboarding clients with key delivery stakeholders, work with the directors to process addendums, and other sales contract related support
  • Contribute to ensure that all new hires are properly communicated when notified by HR to the corresponding delivery teams and our operations team to ensure all onboarding items are properly completed prior to the new team member’s hire date
  • Continuously measure and assess the effectiveness of staffing and resource budgets for the shared service and operational teams quarterly and annually with the resource planner

KEY REQUIREMENTS

Experience;

  • 3 to 5 years in managing teams
  • Communicating with and influencing C-Suite stakeholders
  • Exceptional organisation skills
  • Using analytical and problem solving skills
  • Exceptional written and spoken English

Qualifications

  • Degree in Business, or related subject preferred
