Position: Data Entry Specialist

Position Location: Ames, IA

Company: Todd & Sargent is a design-build construction company that specializes in the agricultural industry, building feed mills, flour mills, and other processing and storage facilities across the US and Canada. Founded in 1935 by George Todd, we are a third-generation family business with our office in Ames, IA. We have a team of motivated and proud employees who have a "Can Do" attitude.

The Why: Why this role exists and why it is critical to the organization.

Todd & Sargent designs, engineers, and manages very large and complex projects! Our project teams need a dedicated individual that can ensure the timely delivery and expediting of important records and information that are critical in meeting our construction timelines.

The What: What this role is responsible for.

Data Expediting (60%)

  • Establish a central point where all project related correspondence and documents are logged into SharePoint.
  • Receive all applicable documents from their source and verify them for completeness and proper approvals. Once verified the document is logged in and added to the master list to be filed.
  • Distribute in-house information and prepare necessary transmittal forms and routing.
  • Copy and create a PDF file of signed prints by engineering and distribute to Vendors, Superintendents, Owners and Subcontractors.
  • Create bill of materials book and list for each job.
  • Assist others in acquiring and/or using archived or current documents.
  • Create slip logbooks for the field and compile appropriate drawings.
  • Plan and use time wisely to meet the company’s document needs.
  • Code Bills of Materials.
  • Maintain a Vendor Contact List.
  • Upload PO’s to SharePoint.
  • Input PO’s into Outlook Calendar.

HR Coordination (40%)

  • Review, track, and file all new hire paperwork received from jobsites.
  • Maintain the Human Resources Information System.
  • Maintain the online I9 system.

Required Skills, Knowledge, & Experience:

  • 1-3 years of administrative and data-entry experience.
  • Proficient in Microsoft Office Suite (this role will be heavily using Word, Excel, and Sharepoint).
  • Awesome customer service mindset.
  • Ability to be flexible and thrives in a fast-paced, changing work environment.
  • Incredible attention to detail, maintaining confidentiality and discretion.

Office Culture: We work in a very casual office environment. Most employees wear jeans every day, and everyone (including our President) is on a first-name basis. We are very family-focused and try to provide employees with lots of opportunities to get to know each other. We have multiple social events throughout the year, such as summer grill-out lunches, potlucks, picnics, Christmas parties, sporting events, and more!

Schedule: Standard schedule is Monday – Friday, 8:00 am – 5:00 pm. Optional "Summer” schedule is Monday – Thursday, 7:00 am – 5:00 pm, Friday 8:00 pm – 12:00 pm. May have the potential for some schedule flexibility.
