What are the responsibilities and job description for the Legal Assistant position at Toho Water Authority?
Under the supervision of the General Counsel or designee, the Legal Assistant provides a broad range of routine paraprofessional, technical, and administrative support services to the General Counsel office. Work assigned will be project based and will be customized based on the prior experience of the individual selected.
An individual in this role will be expected work in an energetic, collaborative office that provides legal advice to the Toho Water Authority Board, leadership, and staff. They will prepare various routine and specialized administrative documents and correspondence; perform legal secretarial and administrative work of standard professional difficulty; and assist in various other routine aspects of potential litigation, legal and/or factual research and analysis, and drafting of documents. Work is performed under general guidance of General Counsel staff with considerable independence and limited direct supervision, based upon the capability demonstrated by the individual and discretion of General Counsel.The duties and responsibilities listed below are intended to provide a representative list of the various types of work that may be performed. - Prepares, proofreads, and reviews materials such as legal documents, easements, annexation agreements, contracts, amendments, and resolutions to ensure accuracy of information, clarity of language, conformance to standard legal style, consistency between clauses and/or provisions, verification of accuracy and pertinence of legal citations and code references through use of computer research, and other legal references; verifies completeness of appropriate supporting documentation; notes necessary changes, additions, deletions, and corrections for review and approval by the General Counsel.
- Performs a variety of highly complex and specialized executive administrative functions, e.g., conducting research, preparing spreadsheets, drafting communications, preparing presentation materials, word processing, reviewing correspondences, record keeping, maintaining filing systems, preparing agenda materials, and receiving of telephone inquiries.
- Coordination and completion of special projects and assignments, which may include highly confidential information, critical thinking, and data analysis.
- Represents the organization when screening calls and responding to inquiries from elected officials, government agencies, staff members, and the general public.
- Establishes and maintains effective working relationships with stakeholders both inside of Toho and with our external stakeholders and customers.
- All other duties as assigned.
- A minimum of a high school diploma or GED issued from an approved GED Administrator.
- Two years of progressive experience working in an administrative role with exposure to contracts and/or legal documents.
- Any combination of education and experience which demonstrates the candidate’s ability to perform successfully in this position will be considered.
- Must possess and maintain a valid State of Florida Class E Driver's License.
DESIREABLE QUALIFICATIONS:
- Strong verbal and written communication skills.
- Proficient with Microsoft Office Suite, with general working knowledge of Excel. Legal research experience or basic knowledge of legal research systems a plus.
- General knowledge of contracts and contract terms to allow for review.
- Ability to perform research information, analyze facts and circumstances, and suggest an appropriate response.
