General Summary:
Primary responsibilities are to supervise non clinical staff; provide administrative support to physician leadership and department management; coordinate all forms of data collection and reporting; coordinates projects as assigned

Principal Duties & Responsibilities:
1. Delegate responsibilities to others and assure that staff members are performing their functions correctly.
2. Responsible for the oversight of OPS health information management including chart completion, photo archiving, and chart transition to EHR.
3. Responsible for oversight of the tumor registry, ASCA and OAASC data collection and input, and assists with the patient satisfaction survey process and reporting. Assists with data collection for infection control and quality reporting activities.
4. Assists with the physician preference card system management.
5. Responsible for supervising and scheduling front office staff. Approves PTO requests and completes payroll approval for the front office staff. Fills in where necessary when assigned staff are not available.
6. Coordinate and assign block schedules in partnership with Anesthesiologists.
7. Oversight of accurate and timely surgery packet completion.
8. Oversee transcription and inclusion in medical records.
9. Responsible for all finance reports.
10. Maintain the transcription system and assist physicians with the transcription system as needed.
11. Assist the OPS Leadership with case costing activities, including maintenance of computer database (i.e., payor contract maintenance, ensure reimbursement rates are current in SIS, etc.)
12. Administrative duties, including preparing meeting agendas and minutes.
13. Coordinates OPS and Anesthesia coding, billing, maintenance, and IT (EHR maintenance and interfaces, to include SIS, IOS/ENVI, Provation, and others as required).
14. Engages routinely with the TTC Business Services staff to effectively improve and maintain the OPS revenue cycle.
15. Monitor and improve, when necessary, employee morale.
16. Effectively communicate with physicians and staff and keep them updated on issues of concern.
17. Attend medical office manager meetings.
18. Completes the OPS physician credentialing process, re-credentialing and the credentialing of new OPS physicians in accordance with accreditation requirements.
19. Promotes and maintains positive public relations with patients and addresses and resolves any patient complaints or concerns.20. Monitors the office’s operation and make adjustments in order to improve upon patient care, efficiencies, cost effectiveness, ergonomics, employee relations, etc.
21. Maintains adequate equipment and supplies and acquires proper approval for any capital expenditures.
22. Develops goals (in conjunction with OPS Leadership and physicians) and follows through to completion.
23. Coordinates projects as directed by the OPS Leadership.
24. Ensure that all charges are input in a timely manner.
25. Complete medical coding paperwork and/or handle collections.
26. Oversight of patient cash collection
27. Required to review and process required Toledo Clinic clinical services requirements
28. Assist/monitor physician and staff with work list compliance
29. Monitor and manage all monthly and weekly administrative and event reports as well as monitor and coordinate required accountability logs.
30. Other duties as assigned.

Knowledge, Skills & Abilities Required:
Required:
  • Previous medical office experience required.
  • Adheres to, and ensures department’s compliance with, the clinic’s policies and procedures and governing rules and regulations.
  • Maintains awareness of the department’s budget and works within the budgetary figures.
  • Effectively recruits, retains, disciplines and trains staff.
  • Requires excellent attention to detail
  • Ability to operate in a fast-paced, sometimes stressful environment
  • Excellent interpersonal and communication skills required
  • Commitment to excellence and strengthening workplace atmosphere of teamwork and mutual respect
  • Demonstrates adaptability to expanded roles.
Education:
  • Bachelor’s degree
Preferred:
  • Supervisory experience strongly preferred.
  • Medical related certification, Experience preferred.
  • Significant experience may be considered in lieu of degree requirements.
