DEPARTMENT: Production Department
REPORTS TO: Offshore Production Coordinator
SUMMARY
The Sample Coordinator is a part of the Production Department and works closely with the Offshore Production Coordinator and Design Department to coordinate domestic and offshore garment samples for TR Men’s, TR Women’s, Kahala, and Vintage divisions. The Sample Coordinator also communicates with outside vendors to ensure accuracy and timeliness of samples.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Receiving Packages
· Open received packages and distribute contents to the appropriate division after checking against the packing list and PO’s. Maintain and submit a log of incoming packages.
· Notify vendors of the receipt of samples and advise them of any shortages.
Domestic & Offshore Samples
· Verify accuracy of line chart for information on print names, colors, quantities, fabric content, and print direction by comparing to the actual fabric received.
· Submit a request for samples, swatches, and repeats to the Production Department for domestic styles.
· Prepare sampling chart for disbursement of correct samples to each sales representative.
· Enter sample information into AS400 inventory upon completion and receipt.
· Label, sort, press, and upkeep samples for Showroom, Travel Line, and sales representatives.
· Label and mount swatches to headers and sort swatches or CAD’s for sales representatives and in-house staff.
· Create orders and prepare samples to be sent to sales representatives.
· Process, credit, and adjust samples received from sales representatives. Maintain a record of sales representative invoices and credits.
· Create orders for samples from Travel Line or Showroom (or stock if necessary) for photo shoots, customers, publications, TV shows and any other special request.
Tradeshows
· Create orders, prepare samples, swatches/CADs, and linesheets for Tradeshows.
· Collaborate with the Tradeshow Coordinator to ensure any mannequin outfits, accessories, hangers, and order forms are shipped to the proper tradeshow location according to schedule.
Linesheets
· Provide swatches to the Graphics Department for scanning.
· Prepare and schedule samples to be photographed for line sheets.
· Prepare PO’s for linesheets and distribute to in-house staff, Showroom, Sales Representatives, and tradeshows.
Invoices
· Reconcile vendor invoices against PO’s and submits them for payment. Communicate payment status with vendors and follow up with any discrepancies.

PHYSICAL DEMANDS
· Ability to ascend/descend ladders and stairs.
· Ability to lift up to 50lbs.
· Ability to sit for extended periods of time
· Ability to stand, walk, climb, bend, kneel, squat, stoop, and or twist.
· Ability to grasp, push, pull, reach and manipulate objects with right/left hand(s).
